In the role of Advisor (Document Control), you will be responsible for leading and maintaining document control systems across the project lifecycle, ensuring compliance with TMR and Queensland State Record Keeping Policies. You will define and support document management processes to enable efficient and timely handling of project documentation, while administering platforms such as Team Binder, MS Teams, and SharePoint, including workflow development and system updates. The role involves coordinating complex review and approval processes, securing and tracking project documents, and assisting in the preparation of high‑quality correspondence and reports. You will also provide administrative and project support to committees and working groups, contributing to the successful delivery of strategic objectives and business plans. Responsibilities Prepare, maintain and ensure adherence to the Project Document Control Management Plan throughout the project lifecycle. Define document management processes and support all users of the document management processes to ensure processing of documents and communications are compliant, efficient, and timely. Continually assess the solutions provided for document and information management activities and services providing feedback for ongoing improvements. Ensure all documents and information provided to project team are securely stored, tracked, and responded to by the relevant team members and external parties within relevant service levels. Utilise, retrieve, and update procedures, databases or information systems to ensure effective and efficient service delivery through relevant, accurate and accessible information. Coordinate the review and approval processes for project related documentation. Develop and maintain workflows in the Document Management System. Administration of project data sources such as Team Binder, MS Teams and SharePoint and others. Ensure documents generated for the project are stored in compliance with TMR and Queensland State Record Keeping Policies. Assist in the preparation of complex correspondence, reports, briefing notes, submissions, and other correspondence in accordance with departmental standards. Undertake administrative tasks required to support the control and distribution of project documents and information. Provide administrative, secretariat and/or project support to committees, working groups or teams concerned with delivering or administering policies consistent with the branch business plan, and the department's strategic direction. Requirements Strong knowledge of recordkeeping standards: demonstrated understanding of TMR and Queensland State Record Keeping Policies. Document management expertise: proven experience in managing document control systems and platforms such as Team Binder, MS Teams, and SharePoint. Attention to detail and quality assurance: ability to coordinate complex review and approval processes, ensuring all project documentation meets quality standards before distribution. Project and contract support skills: experience supporting project teams with documentation, correspondence, and contract‑related administrative tasks. Communication and writing proficiency: skilled in preparing high‑quality reports, briefing notes, and correspondence in line with departmental standards. Organisational and coordination abilities: capable of maintaining secure, accessible, and well‑organised document repositories, while supporting committees and working groups with secretariat and administrative functions.
