Our team The Positioning Australia Program Management Office (PA PMO) within Space Division provides specialist advice and program management services to facilitate delivery, governance and assurance and whole-of-life capability management of Geoscience Australia’s Positioning Australia Program. The PA PMO supports Chief of Space Division and its two Branches, Positioning Australia BranchPA) and SouthPAN Branch, responsible for delivery of the Program. As a small team, the PA PMO combines diverse skillsets including business development, program and project management, procurement, strategic coordination, commercial, scheduling, financial management and governance to deliver the services. The role The Project Officer/Coordinator roles will provide project management and administrative support to the project team and contribute to the delivery of project outcomes. You will be required to work against established priorities and project management practices and methodologies to deliver quality outcomes. The Program Administration role will provide program management and administrative support to the Positioning Australia Program in the delivery of program outcomes. You will be required to work against established priorities and program management practices and methodologies to deliver quality outcomes. You will be required to perform research and analysis to make decisions that involve complex or escalated issues related to Positioning Australia. In this role you will: Prepare high-quality written materials, including program advice, briefings, and consultation papers. Maintain administrative processes to ensure assets are accurately recorded, as part of compliance with asset management framework. Undertake research and analysis across a range of sources to inform program development, including identifying issues, potential solutions and continuous improvement to processes. Support the Positioning Australia Program, project planning and implementation, reporting and evaluation activities against program and organisational strategies. Manage small projects in collaboration with the delivery and programme teams, including: Development of fit for purpose project documentation, Identification and management of project issues, and Engagement with stakeholders to communicate project status and identify and respond to stakeholder needs. Manage project documentation and utilise corporate records management systems to ensure consistency and compliance. Assist with project planning processes utilising innovative techniques and methods to tackle new issues and situations. Work collaboratively within the Program Management Office and across stakeholder teams, contribute to a positive and inclusive team culture, and support colleagues in their work and development. Deliver secretariat functions for senior governing boards and advisory panels and committees, including preparation of agendas, briefings and discussion papers. To be successful in the role you will: Operate as an effective team member; work collaboratively; draw on team strengths. Build and sustain relationships; liaise with a range of stakeholders including team members, other teams, colleagues and clients. Apply develop capabilities to meet performance expectations; contribute own expertise for the benefit of the business unit. Maintain focus on quality to achieve outcomes; adhere to documented procedures; use and encourage others to use appropriate information management systems to keep information up to date. Evaluate program performance, identify need for change and initiate change when required; reschedule and reorganise work to reflect changes in priority. Monitor the program against plans; manage priorities and agree adjustments to milestones as required and in accordance with the Positioning Australia Program. Present messages confidently and select the appropriate medium for conveying information; focus on clear communication of key points. Demonstrate flexibility with day-to-day work changes, shifting priorities and periods of uncertainty. Understand the strategic objectives of the organisation; identify broader influences that may impact on achievement of work objectives; contribute to the development of plans, strategies and team goals objectives. Adhere to the APS Values and Code of Conduct and consistently behave in an honest, ethical and professional way. Required skills, knowledge, experience and/or qualifications Project management knowledge, for example, PMBOK, Prince2 and Agile frameworks/methodologies Relevant tertiary qualifications and work experience in a technical-based business environment. Program management knowledge and administration experience. Experience working collaboratively within multi-disciplinary teams. Excellent communication skills, both written and oral.
