About The Role A permanent, full‑time Office Project Administrator role is available in the Sydney CBD office. Reporting to the General Manager, you will deliver high‑level administrative, coordination, and reporting support to drive the successful execution of strategic projects. Working closely with project teams, stakeholders, and senior leadership, you will help maintain operational efficiency, ensure compliance, and keep projects on schedule and within budget. You Will Maintain and update project schedules and tasks using project management software, monitor progress and team performance, and ensure milestones and deliverables are achieved on time. Create, manage, and version‑control key project documentation (contracts, reports, minutes, presentations), while keeping shared repositories organised and up to date. Support PMO reporting cycles by gathering data, preparing and formatting reports, highlighting variances, and assisting with cost and schedule control. Track project expenditure and resource allocation to keep spending within approved budgets and identify opportunities for efficiency gains. Coordinate with contractors and vendors on deliverables, manage supplier invoices, and support contract variations or negotiations as required. Organise project meetings (agendas, materials, minutes, and action tracking) to keep momentum and accountability high. Ensure project activities remain compliant with internal policies, governance standards, and quality requirements. About You Tertiary qualification in Project Management, Business, Engineering, or a related discipline (highly regarded). Exceptional organisational and time‑management skills with the ability to juggle competing priorities. Proficient in project management tools (e.g., MS Project, Primavera, or similar) and advanced Microsoft Office skills. Strong attention to detail and commitment to producing high‑quality work. Collaborative team player who is adaptable, proactive, and thrives in a dynamic environment. Solid grasp of budgeting and cost‑control principles, with experience monitoring expenses and highlighting variances. Excellent written and verbal communication skills, particularly in preparing reports, presentations, and professional correspondence. Previous experience providing project or PMO administration support in a fast‑paced setting.
