Medical Receptionist/Administrator - Permanent Part Time Rotar Heart Health is a cardiology clinic with main rooms located in Brighton, Melbourne. We are a patient-focused and friendly team who provides crucial support and information to our patients during their healthcare journey. Since 2020, we've been serving the community and building strong relationships with our patients. Our clinic is seeking a medical receptionist/administrator to join ourteam on a permanent part-time basis. Requirements Excellent written and verbal communication skills, with a focus on patient-centered service Strong computer skills, including familiarity with medical practice management software A professional phone manner with the ability to handle multiple lines and triage patient needs effectively Positive and friendly attitude, with a commitment to supporting both patients and clinical staff Demonstrated reliability and strong work ethic, including punctuality and accountability High attention to detail and problem‑solving capabilities, especially when managing patient data and correspondence Proven ability to prioritise tasks, multitask, and work independently in a fast‑paced clinical environment Understanding of privacy and confidentiality obligations in a healthcare setting Preferred but not essential Previous experience in medical administration, with cardiology experience highly regarded Knowledge of medical terminology Medical typing experience Key Responsibilities Provide exceptional front reception support to patients and visitors during busy diagnostic and consulting clinics Greet and assist patients in a professional and compassionate manner, ensuring a welcoming and efficient front‑of‑house experience Assist patients with enquiries in person and over the phone, always maintaining strict patient confidentiality Handle incoming calls promptly and courteously; attend to emails and faxes; relay clear and comprehensive messages to clinical staff Manage appointment bookings and patient flow using medical practice software Prepare consultation and clinic rooms daily to ensure they are clean, fully stocked, and ready for use by doctors and allied health staff Type consulting letters and medical correspondence for cardiologists and clinical staff Assist with clinic marketing and communications, including email newsletters, service updates, and stakeholder engagement Process patient invoicing and payments, including Medicare and private billing Maintain accurate and confidential patient records and manage referrals, test results, and correspondence Monitor office and clinical supply levels and coordinate reordering as needed Provide general administrative support to the clinical team to ensure the smooth running of daily operations Hours Permanent part‑time, 3 days a week.
