Finance & Administration Officer Business Support

Salary Range: $75,000 $85,000 + super (depending on experience) Reports To: CEO / Operations Lead About Us Were an Australian-based software development agency specialising in end-to-end Web3 and blockchain solutions for enterprise and government clients. With a 35-person in-house team, we deliver complex digital products across multiple technologies and blockchains, combining strong technical expertise with structured project delivery. As we continue to grow, were looking for a Finance & Administration Officer to become the operational backbone of our business keeping our finances in order, managing day-to-day administration, and coordinating with our external accounting and legal partners. About the Role You'll oversee the smooth operation of our financial administration and office processes. This is a hands-on, detail-oriented position that blends bookkeeping, vendor coordination, and administrative management. You'll ensure invoices go out on time, supplier payments are processed, contracts are tracked, and the right information reaches our external accountants and lawyers when needed. Its a perfect fit for someone who enjoys ownership, systems, and being the dependable point of contact that keeps everything running efficiently behind the scenes. Key Responsibilities Manage Accounts Receivable (AR) and Accounts Payable (AP) in Xero Prepare and issue client invoices; follow up outstanding payments Reconcile bank transactions and maintain accurate financial records Process staff reimbursements and contractor invoices Support payroll preparation and superannuation submissions Prepare monthly financial summaries for leadership review Coordinate with external accountants for BAS, tax lodgements, and reporting Contracts & Legal Coordination Send NDAs, SoWs, and other standard agreements to clients and vendors Track contract renewals and key dates using reminders or databases Liaise with external legal counsel for contract reviews or redline negotiation Maintain centralised records of all signed agreements and corporate documents Office & Operations Administration Manage office supplies, equipment, and facility maintenance Assist with internal documentation and policy updates Support the CEO/Operations Lead with general administrative tasks Act as a point of contact between management, accountants, and lawyers Skills & Experience 3 years experience in administration, bookkeeping, or finance support Proficiency with Xero and the Microsoft / Google Workspace stack Strong attention to detail and excellent organisational skills Ability to handle confidential information with integrity Clear and professional written communication skills Experience working in a professional services or technology company Familiarity with contracts, NDAs, or basic legal processes Exposure to project-based billing or timesheet systems Comfortable working in a fast-paced, growing business environment What We Offer Competitive salary and superannuation Flexible working hours and hybrid setup (3-4 days in office) Supportive, down-to-earth team culture Opportunity to shape and improve operational processes Exposure to cutting-edge technology and digital innovation projects Application Process Please submit your CV and a short cover letter outlining: Your experience in bookkeeping or administration Familiarity with Xero or similar accounting platforms Any experience managing contracts or liaising with legal/accounting professionals Additional Information All operations are conducted from our Brisbane office.
