We are seeking a highly organised and professional Admin Officer with fluent Mandarin and English skills to support the daily operations of our rapidly expanding business. This role suits someone who has been living or working in Australia for a substantial period, understands local workplace norms, and can confidently represent the company in both internal and external interactions. Candidates with real estate industry experience or a legal / para-legal background will be highly regarded, as the role involves handling documents, coordinating external communications, and assisting with project-related follow-ups. Must hold a valid Australian work visa. Key Responsibilities Reception & Hospitality Coordinate and host visiting manufacturers, corporate representatives, and business partners. Manage front-desk duties, visitor scheduling, meeting room arrangements, and event coordination. Project Coordination Assist in project scheduling, document preparation, contract follow-ups, and milestone tracking. Support cross-department communication to ensure smooth workflow and timely delivery of project tasks. External & Inter-branch Communication Act as the key liaison between the company and external parties, including manufacturers, suppliers, and branch offices. Handle contract-related enquiries, documentation requests, and ad hoc operational matters. Administrative Operations Provide daily administrative support across dealerships, including record management, filing, and office logistics. Maintain operational procedures to ensure efficiency and compliance. Reporting & Documentation Prepare meeting minutes, official correspondence, and project progress reports. Maintain organised and accurate records of agreements, communication logs, and documentation archives. Requirements Valid Australian work visa (full-time working rights). Bilingual proficiency in Mandarin and English — excellent written and verbal communication. Strong organisational skills with high attention to detail. Confident, proactive, and able to engage effectively with internal and external stakeholders. Professional presentation and strong sense of responsibility. Highly Preferred Background in real estate, legal studies, para-legal work, compliance, or related administrative roles. Familiarity with Australian business culture, local communication styles, and professional etiquette. Ability to work independently while managing multiple priorities under tight deadlines.
