R&I Zambesi Pty Ltd (Part of the Truflow Group) is a leading supplier of spray painting equipment and filtration systems, and is seeking an experienced and detail‑oriented Bookkeeper / Office Administrator to join our small, dynamic team. This role is pivotal in maintaining accurate financial records, managing daily office operations, and supporting the overall administration of the business using MYOB accounting software. Key Responsibilities Daily Financial and Administrative Duties Perform daily bank reconciliations using NAB online banking and MYOB, including entering deposits, direct debits, bank fees, and reconciling the cheque account. Invoice customer and reseller sales, service reports, and special accounts in MYOB; email invoices promptly and process prepaid credit card payments. Manage creditor invoices: verify pricing and receipt of goods, enter into MYOB, and schedule monthly payments including COD suppliers, utilities, phone bills, and international payments. Handle courier bookings (morning cutoff 10:00 am, afternoon 2:00 pm), print labels, and prepare delivery dockets for customer pickups. Chase overdue debtor accounts and maintain monthly debtors listings. Conduct petty cash recording and reconciliations (soft weekly, full monthly). Office Administration Manage incoming communications: check and respond to emails, return voicemail messages, take detailed phone messages, and assist customers with filter quotations. Check mailbox, handle banking of cheques via Australia Post, and maintain up‑to‑date filing systems. Assist with purchasing and procurement: monitor stock levels for stationery, printer cartridges, filters, booth coatings, chemicals, and technician parts; place orders as required. Support new spray booth projects from deposit invoicing through to final balance, including liaison with suppliers and preparation of customer dossiers. Payroll and Compliance Process weekly payroll via ADP: collect timesheets and overtime every Wednesday, submit by 2:00 pm, process wages every Thursday including PAYG, and EFT to employee accounts. Manage superannuation (monthly via ATO), PAYG (monthly), and BAS (quarterly after accountant approval). Maintain employee records, annual leave, RDO accruals, and personal details on ADP. Handle motor vehicle registrations, CTP insurance, and comprehensive coverage renewals via RMS online. Oversee OHS/WHS compliance: update staff licences, supplier compliance files, site inductions, and SWMS documentation. End‑of‑Day/Period Procedures Backup MYOB data daily, switch phones to night mode, secure premises (alarm, lights, air conditioning, locking). Complete end‑of‑month, calendar year, and financial year procedures as per company checklists. Essential Skills and Experience Minimum 3–5 years’ experience in bookkeeping and office administration, with advanced proficiency in MYOB Premier. Strong knowledge of Australian payroll, superannuation, PAYG, and BAS requirements; experience with ADP payroll highly regarded. Excellent reconciliation skills and attention to detail for daily banking and creditor/debtor management. Proficient in Microsoft Office Suite (Outlook, Word, Excel) and comfortable with online banking, BPay, and courier platforms. Professional phone manner and customer service skills for handling enquiries and quotations. Ability to work autonomously in a fast‑paced environment while supporting management and technical staff. Personal Attributes Highly organised, proactive, and reliable with a strong sense of responsibility for financial accuracy and office security. Excellent written and verbal communication skills.
