Dispatch Team Leader

The Dispatch Team Leader is responsible for overseeing the day-to-day operations of the dispatch department, ensuring all freight – domestic and international – is managed accurately, efficiently and on time. This role requires a proactive leader with strong problem-solving skills who can confidently handle fast-moving, high-pressure logistics challenges. The Team Leader will work closely with the Sales, Online Stores, and Local Production teams to meet tight deadlines and deliver tailored freight solutions, particularly when dealing with urgent or time-sensitive orders. Collaboration and forward planning are essential to ensure all departments are supported and customer expectations are consistently met. Each week, the Team Leader will guide and support the dispatch team, ensuring staff have the training, resources and confidence to carry out their tasks independently while maintaining a smooth flow of goods in and out of the warehouse. While stepping in when required, the focus of this role is on empowerment, building a capable team that does not rely on constant direction. Being proactive is critical. This includes gathering all upcoming urgent requests from Sales, Online Stores, and Production in advance, allowing for effective weekly planning. While ad-hoc and last-minute tasks will always arise, the ability to anticipate needs, prepare the team, and stay ahead of potential bottlenecks is key to success in this position. Key Responsibilities Dispatch & Logistics Operations Develop, implement and maintain dispatch and logistics procedures to improve operational efficiency. Ensure the team consistently updates the internal tracking system and MYOB Acumatica at every stage of the dispatch process. Monitor on-time deliveries, correct shipping destinations and accurate processing of domestic and international shipments. Coordinate and communicate with external courier and freight companies for pick-ups, returns, redirections and resolution of delivery issues. Oversee daily workflow to ensure orders are picked, packed, and dispatched accurately and on schedule. Collaborate with inventory control to minimize stock discrepancies and support accurate stock movement. Identify opportunities to streamline processes, reduce costs, and enhance customer satisfaction. Ensure all dispatch and logistics procedures comply with company policies, WHS standards, and relevant transportation regulations. Recommend and implement improvements in dispatch workflows, equipment use, and team productivity. Reporting & Analysis Track, analyse and report key logistics and dispatch KPIs to management, including delivery performance, dispatch accuracy and freight costs. Review tracking data regularly to ensure visibility, accountability and adherence to service standards. Provide insights and recommendations based on operational data and recurring issues. Lead, supervise and support dispatch staff to maintain high standards of performance, accuracy and safety. Conduct training and induction for all new dispatch/logistics team members. Hold regular team meetings to communicate expectations, address issues and implement operational improvements. Foster a positive, efficient and safety-focused team culture. Problem-Solving & Communication Handle escalations relating to urgent requests, delayed, lost, or incorrect deliveries, ensuring timely resolution. Work closely with Warehouse, Sales, Online Stores and Production teams to ensure smooth order flow from entry to dispatch. Provide clear, proactive communication to stakeholders about delays, constraints, or logistical challenges. Skills & Experience Previous experience in dispatch, logistics, or warehouse operations (leadership experience preferred). Strong understanding of freight processes, courier operations, and shipment tracking systems. Excellent problem-solving skills with the ability to make decisions under pressure. Strong communication and interpersonal skills. Ability to lead, train, and motivate a team in a fast-paced environment. High attention to detail and commitment to accuracy. Understanding of WHS and compliance requirements. Experience with freight software, ERP or inventory management systems (e.g., MYOB, Acumatica). Data analysis or reporting experience.
