Job Description The Administrative Officer role, based at Epworth Freemasons, provides administrative support across a variety of clinics to ensure seamless day‑to‑day operations. The officer works closely with the Clinics & Project Manager (and Team Leader) on tasks such as consult‑room rostering, ordering medical supplies and general stationary, liaising with doctors regarding operational issues, assisting with staff training, updating operational manuals, and participating in key meetings such as GP & Breast Clinic Operational Meetings. The officer also handles sessional consultant related work: filling patient appointment lists in Best Practice and communicating closely with premium sessional users; liaising with the reception team to delegate patient list work according to targets set by the Clinics & Project Manager, providing lunch‑time cover to the Breast Clinic receptionist, and other administrative support tasks. A high standard of written and verbal communication is required. This role works closely with the Team Leader and provides coverage when leave is taken. You must be proactive, anticipate needs before they arise, work independently, and demonstrate outstanding communication skills. A calm demeanour is essential for managing stressful or challenging situations. Experience in hospitals, healthcare or the medical industry is highly desirable but not essential. A strong administrative background and computer skills are a must. This is a casual role (approximately 4 days per week on‑site). Key Responsibilities Lead by example with excellent customer service, time management and proficiency in medical software such as Best Practice and Genie. Build strong relationships with consultants and patients while demonstrating Epworth values. Provide support to staff and the Clinics Project Manager with a can‑do attitude. Essential Qualifications Relevant qualifications or experience in Health or Office Administration and/or Practice Management (desirable). Excellent communication skills in person, written, and telephone. An empathetic, friendly and professional manner. A sense of ownership and accountability regarding work. A drive to be successful and progress. Ability to interact with diverse stakeholders.
