Customer Service/ Administration Assistant CUSTOMER SERVICE/ ADMINISTRATION ASSISTANT A well-established national retail precious metals company is seeking an experienced Administration Assistant with a customer service background. The position is full‑time based in the Outer Eastern suburbs of Melbourne – Knoxfield. Product knowledge and training will be provided. Key Responsibilities Administration Communicating effectively with team members and customers. Completing tasks and meeting deadlines. Maintaining up to date records, paperwork and admin‑adjacent compliance. Ensuring compliance with AML/CTF and ASIC requirements. Process financial transactions Accurately process daily financial transactions including receipts, invoices and payments. Updating and maintaining the general ledger, ensuring all transactions are properly categorized and balanced. Reconciling bank statements and other accounts to ensure accuracy and identify discrepancies and keep financial records. Reporting and data analysis Oversee inventory across multiple sites – storage, tracking and validation. Ensure daily stock reconciliation and accurate product dispatch. Benchmark pricing and manage risks. Drive process improvement and system efficiency. Customer Service Responsibilities Engage, educate and transact with customers over the phone, in a pleasant and professional manner. Provide solutions to customer enquiries, ensuring a seamless and positive experience. Facilitate a high level of customer service, fostering positive relationships with existing customers and developing connections with new customers. Resolve customer enquiries promptly and professionally. Oversee operational procedures across customer service and dispatch. Work with leadership to drive innovation, efficiency and commercial success. A passion for providing exceptional customer service and the ability to "create" the ultimate customer experience. Desired Skills/ Criteria Previous experience in accounts. Solid Excel skills and ability to generate analytical reports with relevant conversion measurement. Strong critical thinking, analytical and problem‑solving capabilities. A risk and control mindset, constantly critiquing and evaluating information. Meticulous attention to detail and a data‑driven mindset. Ability to multitask. Experience with auditing, reconciliation or assurance functions desirable. Excellent organisational skills and the ability to work collaboratively and independently when required.
