Allied Health Receptionist

4D Health and Performance – Sydney CBD NSW Location: 4D Health and Performance. Sydney CBD Reports to: Clinical Director Employment conditions: Full-time - Salaried JOB PURPOSE To lead the reception team and support therapists to ensure consistent, outstanding client experiences; Oversee adherence to systems, policies and procedures and develop new systems to enhance consistent performance; Lead reception team to ensure all responsibilities are met and tasks completed on time; Nurture referral relationships and help create new referral relationships; Manage staff and contribute to a harmonious work environment and culture KEY RESPONSIBILITIES Client relationships Meet and greet clients, ensuring a great first impression. Answer phone queries and convert bookings at a high level. Accurately book client appointments. Accurately bill clients and third parties such as Workcover, NDIS, Medicare and DVA. Provide outstanding customer service to optimise client experience and progress them along the “ladder of loyalty” to become raving fans. Maintain a clean and tidy reception and waiting room area. Oversee the automation of client communication (SMS & Email) using "Cliniko" and "Cliniqapps". Operations Ensure that daily and weekly tasks assigned by Monday.com are completed and up to date. Oversee and ensure the accuracy of end-of-day and end-of-week reconciling and banking. Ensure office consumables and equipment are ordered on time and within the monthly budget. Oversee product/stock ordering to ensure the clinic is always fully stocked with frequently sold items. Oversee the collection of outstanding debts from third parties including Workcover, NDIS, DVA and Medicare. Ensure a safe workplace according to OHS standards and policies. Oversee the adherence to 4D policies and procedures, and create new systems as required. Ensure weekly statistical dashboarding is completed. Participate, contribute and help lead the development and delivery of 4D’s strategic plan and growth goals. Marketing & public relations Track and organise referrer visits by therapist team, including GP inservices and lunches, specialist and surgeon visits, and visits to any other relevant referring party or agency. Assist in distributing online content for prospective and current clients, as well as referral partners, including online blogs, Facebook Posts, Instagram videos and photos. Help manage and run 4D's Facebook and Instagram page in collaboration with the Director and the rest of the Team. Assist in identifying and developing new clients, referrers and markets for The Clinic. Leadership & Team Contribute to team culture by communicating respectfully and courteously with other team members, collaborating and respecting new ideas, and celebrating WINS. Provide constructive feedback in an appropriate manner as required to ensure optimal performance from all team members. Liaise with Clinic Directors as necessary. Help lead team huddles, meetings and workshops, to collaborate ideas and offer assistance to other team members. Create receptionist scripts and oversee the implementation to ensure consistent answers to frequently asked queries. QUALIFICATIONS & EXPERIENCE 2+ years of customer service experience – ideal. Leadership and management skills and experience – ideal. Computer, online and social media skills and experience – essential. Allied Health reception experience preferred, but not necessary.
