Based in Epping Head Office. As the first point of contact for prospective and current volunteers, the Volunteer Administrator makes sure every volunteer experience starts well. From recruitment and screening to compliance and communication, this role helps our volunteer program remain safe, consistent, and welcoming. It supports the vital work of Residential Managers and service teams by enabling volunteers to be ready, engaged, and aligned with the values we live by. Act as the central contact point for volunteer enquiries, applications, and general support Communicate regularly with volunteers, ensuring they feel appreciated, informed, and connected Assist with volunteer recognition initiatives and events Ensure a positive volunteer experience from first contact to ongoing participation Coordinate volunteer onboarding processes, including police checks, vaccination records, mandatory training, and system entry Monitor volunteer compliance status and follow up on required renewals or updates Ensure accurate records are maintained for all volunteers in accordance with policies and legislation Liaise with P&C and operational managers to ensure onboarding aligns with organisational and regulatory standards Partner with site-based managers (e.g. Residential Managers, Lifestyle, Spiritual Wellbeing) to understand volunteer needs and site requirements Assist with scheduling, queries, and support for volunteers engaged across multiple services Maintain consistent communication with Operations Managers regarding volunteer activity and trends Work collaboratively with the P&C team to streamline and improve volunteer systems and processes Support the maintenance of volunteer management systems, databases, and reporting tools Contribute to reporting on volunteer hours, engagement, and trends Identify opportunities to improve volunteer recruitment, engagement, or administrative processes Stay up to date with aged care volunteer expectations and compliance requirements Liaise with Engagement, Pastoral Care, Wellbeing and Operational Teams to support integration of volunteers into all service offerings Support strategic recruitment Support the Pastoral Care Manager to develop external relationships and partnerships What you will bring Welcoming, friendly, and people-oriented approach Highly organised, detail-focused and reliable Committed to SCC’s HEART values and purpose Adaptable and responsive to changing needs or priorities Sensitive to the unique nature of volunteering in aged care and residential settings Experience in volunteer coordination, HR administration, community engagement, or a similar support role Strong administrative and systems experience, including use of databases or CRM tools Experience supporting compliance, onboarding, or credentialing processes Exposure to aged care, community services, or not-for-profit sectors (Desirable) Excellent interpersonal and written communication skills Confident in liaising with volunteers, staff, and managers across levels Skilled in data entry, system accuracy, and file management Ability to manage competing priorities and maintain professionalism under pressure Proficient in Microsoft Office, online systems, and digital tools for communication and tracking About Southern Cross Care (NSW & ACT) At SCC (NSW & ACT), people are at the heart of everything we do We are a purpose-led, not-for-profit organisation empowering older people to ‘live life to the full’.
