J A Technical Services Pty Ltd t/a ALLEN BUILT – Derwent Park TAS Allen Built is a family-owned and operated commercial, residential, and maintenance construction company based in Tasmania. Our team of skilled employees works alongside company owners Shannon and Angela Allen to provide efficient, quality, and cost-effective building solutions to all clients across the state. The company has experienced rapid growth since commencing trade in 2023 and envisions further expansion in the future. The Role The role is intended for a highly experienced, reliable and motivated administrator who can commit to full time hours, eventually assuming the role as Office Manager once adequately trained in the company's processes. The successful applicant will work in our office at Derwent Park and support the current Office Manager (who will drop down to part time hours once the applicant is trained), Director, Maintenance Manager and Site Supervisors who also are based at this location. The ability to grow and progress within the role is significant, with the successful applicant progressively becoming more knowledgeable within the building industry, including commercial and residential building contract law. Above award pay rate negotiable subject to level of experience, and ability to work within school drop-offs and pick-ups exists for the right candidate. Specific duties Accurate data entry in Xero, including supplier bills. Email and phone call enquiries. Assist with growing maintenance contracts, including site visits and comprehensive record keeping. Minutes taking of site construction meetings. Preparation of residential and commercial building contracts. Personal assistant support to the Director. Coordinating inductions with a team of 13 employees. Work across various websites required by our clients. Social media posting (e.g. Facebook, website, Instagram). Office upkeep (e.g. stationery orders, some general cleaning). Creation and distribution of a wide range of Word and Excel documents. Tender and contract administration support to the Director. Assist the Maintenance Manager and Site Supervisors with administration tasks specific to the construction industry (e.g. site safety establishment administration, maintaining job lists, emailing clients). Any ad-hoc administration as required. Essential qualifications, experience and abilities 5+ years working within a similar role. Construction/building industry experience highly desirable. Proficiency in using Xero, or equivalent accounting software. Intermediate level proficiency in Xero reports and functions is required. Acceptable equivalent accounting software experience includes any accounting software platform. Understanding of compliance required for a business (e.g. taxation, accounting, etc.). Certificate 3 or higher in Business Administration, or a higher-level qualification within the same field. Working with vulnerable people card (or ability to acquire one).
