About the job
This position is part of the consortium management structure for the whole route migration project "Pathways to Protection" (P2P). The project is managed by a consortium between three partners, Danish Refugee Council, Danish Red Cross and The International Detention Coalition.

Danish Refugee Council (DRC) supports refugees, displaced people, and conflict-affected communities in over 40 countries. Danish Red Cross (DRC) works to improve the lives of people affected by conflict, disasters and economic hardship by providing essential aid and health services, supporting disaster relief efforts, and promoting human dignity and respect for all.

The International Detention Coalition (IDC) is a network of organizations advocating for people impacted by immigration detention. IDC promotes alternatives to detention through research, advocacy, and strategic partnerships with governments and civil society, with a focus on rights-based migration pathways.

The Grants Specialist plays a pivotal role in supporting the effective and efficient management of donor-funded grants within the consortium framework. Under the supervision of the Chief of Party, the Grants Specialist will be responsible for leading and coordinating the development of high-quality proposals and project reports, managing the full grant lifecycle, ensuring donor compliance, and facilitating donor reporting. This role also involves promoting collaborative efforts in proposal development, budget management, and reporting processes.

The Grants Specialist will ensure that the consortium maintains high standards of accountability and adheres to donor regulations, internal policies, and best practices. S/he will work closely with program teams to track project performance, identify risks, and ensure that donor expectations are met or exceeded.

Additionally, the Grants Specialist will support the development of a comprehensive archiving and documentation system for grant-related information, ensuring transparency and easy access to critical information for audits and reporting. Through proactive communication and capacity-building initiatives, the role will contribute to the creation of a robust, collaborative, and donor-responsive environment for grants management within the consortium.

The Grants Specialist will also take part in programmatic strategy discussions and assist in positioning the consortium for future funding opportunities. Your main duties and responsibilities will be:

Coordination

  • Act as the primary point of contact for all grant-related coordination with consortium members.
  • Facilitate regular coordination meetings to track grant deliverables, challenges, and best practices.
  • Support the Consortium CoP in strategic donor engagement and relationship management.
  • Represent the Consortium at partner meetings as required.

Reporting and Documentation

  • Lead the preparation and review of high-quality donor reports, ensuring accuracy, completeness, and adherence to donor templates and guidelines.
  • Develop and maintain reporting schedules and ensure timely submission of all reports.
  • Maintain a centralized and organized filing system for grant documentation, including proposals, contracts, and reports.
  • Ensure proper documentation of program changes and communication with donors.

Grant Acquisition and Proposal Development:

  • Lead the development and coordination of high-quality concept notes and proposals, ensuring compliance with donor guidelines and deadlines.
  • Manage the proposal development process, including drafting proposal narratives, compiling budgets, and ensuring coherence between narrative and financial aspects.
  • Conduct quality reviews of proposals to ensure alignment with strategic priorities, technical accuracy, and donor requirements.
  • Maintain a pipeline of funding opportunities and support strategic resource mobilization efforts.

About you
To be successful in this role we expect you to have a minimum of 3 years of experience in grants management within the humanitarian or development sector, preferably within an international NGO. Moreover, we also expect the following:

Required

  • A bachelor's degree in international development, business administration, public policy, or a related field is required.
  • Proven experience in leading proposal development and successfully securing institutional donor funding.
  • Demonstrated ability to manage complex donor compliance requirements, particularly for donors such as the EU, USAID, and UN agencies.
  • Strong analytical skills and ability to synthesize complex information into clear, concise documents.
  • Proficiency in grant management systems and tools.
  • Excellent project management skills with the ability to prioritize tasks and meet deadlines.
  • Strong interpersonal skills and the ability to work effectively with diverse teams and stakeholders.
  • Full professional proficiency in English is required.

Desirable

  • A master's degree in a relevant field is preferred.
  • Proficiency in Arabic and/or French is highly desirable.
