We are a well-established high-end residential landscaping business with a strong trajectory for future growth. Based in the northern suburbs, we specialize in providing premium landscape design and construction solutions within the private sector.

As part of our expansion, we have an exciting opportunity for an experienced Accounts Payable/Contracts Administrator to join our team. This role is critical in ensuring the seamless management of financial transactions and contract administration, supporting our leadership team and project operations.

About the Role:

Reporting directly to the General Manager and Finance Manager, you will play a key role in our business's financial and contractual aspects. You will be responsible for processing accounts payable, managing contracts, coordinating payments, and supporting administrative functions that contribute to the smooth operation of our projects and business.

Key Responsibilities:

  1. Accounts Payable Management:
    • Process invoices, reconcile supplier statements, and ensure timely payments.
    • Monitor and manage company expenses, liaising with suppliers on payment terms.
    • Assist in maintaining accurate financial records and preparing reports.
  2. Contracts Administration:
    • Prepare and review supplier and subcontractor agreements, ensuring compliance with company policies.
    • Maintain accurate contract records and track key contract milestones.
    • Assist in negotiating terms and conditions with vendors and subcontractors.
  3. Reconcile purchase orders, invoices, and contracts to ensure accurate financial reporting.
  4. Support the General Manager and Finance Manager in preparing financial documentation and reports.
  5. Maintain organized digital and physical contract filing systems.
  6. Ensure all administrative processes comply with internal policies and industry regulations.
  7. Quality control checks on phone leads.

What You Bring to the Role:

To be successful in this position, you should have:

  • Strong financial acumen, with experience in accounts payable and contract administration.
  • Excellent attention to detail, ensuring accuracy in financial transactions and documentation.
  • High-level time management and coordination skills, with the ability to meet deadlines.
  • Exceptional communication skills, both written and verbal.
  • Proficiency in accounting software (e.g., QuickBooks) and Google Suite.
  • Familiarity with contract management principles and supplier agreements.
  • A proactive mindset, with the ability to problem-solve and take initiative.
  • The ability to handle confidential financial and contract information with discretion.
