To manage the Iranian P2 Lautenberg Caseload prior to departure of Iran, ensuring adherence to all Standard Operating Procedures (SOPS) as outlined by the US State Department's Bureau for Population, Refugees and Migration (PRM) and the Refugee Processing Center (RPC)

To ensure that all program activity complies with PRM, RPC and HIAS policies, including the Program Integrity Guidelines, promoting a zero tolerance policy to fraud and internal malfeasance

ESSENTIAL FUNCTIONS:

  • Establish goals and ensure targets are met related to the volume of refugee applicants progressing through the processing pipeline
  • Maintain an overview of the workflow of the cases in Iran, ensuring effective prioritization and efficient processing
  • Act as an escalation point and knowledge lead for the Senior Program Team
  • Supervise all staff in the Program Access team, providing support and motivation
  • Deliver accurate monthly, quarterly, annually and informational reports to internal and external parties in line with deadlines
  • Work with the Refugee Data Team to develop and maintain Quality Control and dashboard reports based on the Tableau platform
  • Maintain oversight of the Care and Maintenance fund process
  • Ensure the refugee applicant communication for cases in Iran is accurate and communicated according to policy
  • Act as the main point of contact for communication with resettlement agencies on cases in Iran in order to ensure efficient case processing
  • Maintain all program access processing guides for the P2 Lautenberg caseload so that they meet PRM guidelines
  • Distribute, summarize and train staff on newly issued RPC processing guides and/or Program Announcements
  • Attend and actively contribute to Management and other meetings as appropriate
  • Ensure regular feedback, agree team and individual goals and conduct evaluation meetings for all staff, in line with good performance management practice
  • Ensure regular and effective communication to individuals and the team as a whole, ensuring that staff feel wellinformed
  • Ensure adequate workload coverage, through overseeing planned and unplanned absence
  • Identify individual and team training needs, coordinating with the Human Resources Manager, Refugee Data Manager and Head of Refugee Programs to find the best way of addressing these needs
  • Any other tasks as required by the Head of Refugee Programs

QUALIFICATIONS & REQUIREMENTS:

  • Direct supervisory experience, particularly in managing teams
  • Fluent spoken & written English
  • Experience with USRAP is preferred
  • Experience with project management is preferred
  • Confident in leading and motivating a team
  • Ability to give individual performance feedback and set appropriate goals
  • Mature, professional and credible approach
  • Enthusiastic, hardworking and motivated
  • Collaborates with colleagues to deliver quality work, solve problems, and generate new ideas
  • Excellent communication skills (written and verbal):
  • has an approachable style and knows how to deliver messages appropriately
- has the discretion and experience to represent the office externally and to be part of the management team

  • Good analytical skills comfortable creating fitforpurpose reports from various data sources
  • Makes practical and pragmatic decisions in order to resolve problems arising in the workplace
  • Strong attention to detail able to remain focused and produce quality work, even under pressure
  • Highly organized and able to manage multiple, conflicting priorities
  • Able to adapt quickly to new tasks, changes and challenges
  • Has good judgment knows when it is appropriate to escalate
  • Strong IT skills, including Adobe Acrobat Pro, Excel, Word, and GitHub and Tableau familiarity are an advantage

Compensation for this position is minimum 4000 euro in accordance with all standard Austrian legal and tax deductions.

This position is 100% in office and remote work is not possible.
