PRIMARY RESPONSIBILITIES INCLUDE:

- Greet and welcome guests, Clients and visiting Associates
- Facilitate visitor check-in and check-out process
- Provide sign-in, parking validation instructions, and information on waiting areas and meeting locations
- Creative Associate ID badges and coordinate with LPC in building access cards.
- Professionally answer, direct, and transfer calls (if necessary) from Fortna general contact US and global phone numbers.
- Prepare and maintain parking logbook and check-in forms
- Provide office tours for visiting Associates and new hires as needed
- Manage front door security, doorbell entry
- Maintaining a clean and orderly office environment including:

- Maintain breakroom cleanliness, perform daily morning maintenance of coffee machines and water system, and ensure snacks are replenished at start of workday
- Keeping conference and training rooms neat
- Keeping all common areas neat
- Ensuring printer paper is available by each printer and printer trays are kept full
- Cleaning out refrigerator weekly and end of month
- Coordinating use of the conference rooms, team spaces, offices, and cubicles, and update automatic reserve signs for conference rooms
- Coordinating additional offsite meeting space as necessary
- Organize and maintain office supply closet
- Organizing and stock snacks and beverages in new storage closet in executive area
- Ordering supplies and items as necessary ensuring proper account coding:

- Office supplies (Staples’s delivery)
- Kitchen supplies: coffee, drinks, creamer, etc. (Costco delivery)
- Office snacks (Costco delivery)
- Electronics (Amazon)
- Acting as host for in-house Client meetings, Board of Director, and Leadership meetings
- Ordering lunch to be delivered, providing coffee, water, snacks, etc.
- Ensuring that conference rooms are set up properly, meals are ordered in advance and ensuring that, once on-site, guests are offered refreshments, etc.
- Ordering corporate gifts (i.e., flowers, etc.) on an as-needed basis for Associates, business partners, Clients, etc.
- Coordinating and maintaining local hotel corporate rate relationships
- Providing support for onboarding sessions by coordinating with HR team members to ensure that new Associates are welcomed, conference/training rooms are set up properly; and any necessary meals are arranged
- Coordinate with IT support in set up of conference rooms, Hubs, projectors, white boards, video, and audio, supplies and other needed arrangements
- Opening and distribute daily mail/deliveries and scanning or sending mail to other offices when applicable
- Coordinating lunch and dinner meetings for the Atlanta office
- Coordinating office holiday or special events
- Assist and or coordinate monthly birthday recognition of corporate Associates
- Preparing FedEx online shipments and assisting Associates with their FedEx needs as well as maintaining supplies
- Maintaining bulletin board with Company/Associate info as well as assisting with maintenance of Health Center area
- Working with Lincoln Property Company on any office repair items needed
- Maintain communication with the Executive Assistant/Office Manager to correlate office arrangements and minimize conflict.
- Flowers and Condolences
- Send flower arrangements and condolences to company-wide Associates, MHS and Fortna for bereavement, clients, etc.
- Direct Executive Travel - MHS & Fortna is now “Self Serv Travel”, meaning Fortna does not book airline tickets or hotel rooms for orientation or interviewing. The hiring manager can go into Concur and book, flight and room reservation and expense it. Or the applicant books flights, hotel room, ground transportation for reimbursement. MHS & Fortna Associates books their own travel itinerary via their AMEX - upcom
