**Key responsibilities**:
- Provide high-level administrative support to the management and company teams.
- Support different projects with administrative and organizational support, cooperating with all departments within the company.
- Conduct research and compile reports, presentations, or summaries on request.
- Oversee day-to-day office operations, ensuring a well-organized and efficient work environment. Manage office supplies.
- Coordinate office maintenance, repairs, and cleanliness with respective colleagues.
- Manage office-related budgets, track expenses, and handle invoices. Assist with basic accounting tasks, including processing reimbursements and petty cash.
- Plan and execute company events, meetings, and team-building activities, ensuring all logístical details are handled.
- Collaborate with HR in onboarding new employees, maintaining office policies. Help with other administrative HR duties.
**Qualifications**:
- Bachelor’s degree in business administration, communications, or a related field preferred.
- At least 2 years of experience in executive support, office management, or a similar role.
- Experience supporting C-suite executives is highly desirable.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication in English and in German.
- Proficiency with office software (Microsoft Office Suite).
- High attention to detail and problem-solving skills.
- Strong interpersonal skills and ability to work with all levels of staff.
- Knowledge of office management systems and procedures.
- Ability to anticipate needs and ensures the office is functioning optimally.
- Manages priorities and deadlines effectively under pressure.
- Thrives in a fast-paced environment, can manage shifting priorities with flexibility.
- Maintains a positive, professional demeanor and provides exceptional internal and external customer service.
