Job Description:
As an Administrative Assistant / Virtual Assistant, you'll be the linchpin of our operations, keeping everything running like a well-oiled machine.
You'll manage calendars, handle communications, and provide crucial support to our artisans.
This role offers a unique blend of administrative expertise and creative industry exposure.
You'll be instrumental in organizing our busy schedule, managing client interactions, and supporting our growth.

Responsibilities:
Expertly manage calendars, scheduling appointments and meetings with precision.
Handle incoming and outgoing calls, serving as the first point of contact for our clients.
Take detailed, accurate notes during meetings and client consultations.
Assist with invoicing and basic financial tasks to keep our business running smoothly.
Create reports and presentations to support business operations.
Manage email communications, ensuring timely and professional responses.
Set up and maintain a robust system of reminders for critical tasks and deadlines.
Provide general administrative support to our creative team, allowing them to focus on crafting beautiful jewelry.
Requirements: 2-3 years of proven experience in an administrative assistant role.
Exceptional organizational skills with a talent for juggling multiple tasks efficiently.
Strong communication skills in English, both written and verbal.
Proficiency in office software and tools, with the ability to learn new systems quickly.
Self-starter mentality with the ability to work independently and proactively.
Meticulous attention to detail and a commitment to accuracy in all tasks.
Familiarity with VOIP or softphone systems for handling calls.
Ability to work full-time, Monday to Friday, from 9 AM to 6 PM Sydney time.
Comfortable with remote work and equipped to make and receive phone calls.
Adaptability and eagerness to take on expanded responsibilities as our business grows.
