We're looking for an exceptional Family Executive Assistant who can step into a role that blends both organisation and life coaching—someone who will help us stay accountable to our goals, streamline our household operations, and create systems that keep us on track.
This individual will not only manage daily tasks but also be an essential partner in ensuring that our personal, family, and business goals are aligned and continuously moving forward, almost like a Productivity Ninja guiding us through each phase of our busy lives.

This role will involve creating systems, executing tasks, and helping us stay organised, with a strong emphasis on life goal-setting, project management, and utilising technology to keep our lives running smoothly.

Key Responsibilities
Goal Setting and Accountability:
Support both of us in identifying, prioritising, and breaking down personal, family, business and fitness goals into manageable, actionable steps.
Implement a system for tracking and checking in on goals to ensure continuous progress.
Conduct daily check-ins to discuss progress, adjustments, and any support needed to stay on track.
System Building and Implementation:
Design and implement new systems to match task needs and goal tracking based on initial briefs and ongoing feedback.
Adopt a startup mentality, developing effective solutions for organising personal and family life, then operating and improving these systems over time.
Project Management and System Maintenance:
Oversee project management tools, keeping Asana, Google Calendar, Google Docs and other systems up to date.
Ensure all calendars, schedules, and goal-tracking systems are organised and functioning effectively.
Build, refine, and maintain systems, routines and manuals to ensure consistent productivity.
Proactively suggest improvements and establish processes as needs evolve.
Administrative Family Support:
Handle various family administrative tasks, including researching, scheduling appointments and bookings for both health and recreational related activities, online shopping, etc.
Manage family documentation and handling all desk work, like filing, document preparation, and filling out forms.
Manage various email accounts and write draft communication ahead of time.
Proactive Use of Technology:
Stay up-to-date with AI and tech trends, suggesting and implementing AI tools to streamline activities and routines.
Leverage AI to assist with scheduling, task reminders, goal tracking, and research, ensuring the family remains efficient and effective.
Regularly research and integrate new technologies to improve productivity and simplify daily tasks.
Requirements High attention to detail: Demonstrated ability to maintain accuracy across a wide variety of tasks, including documentation, scheduling, and research.
Consistently ensures precision and thoroughness in all activities and tasks completed with quality and accuracy.
Productivity Skills and Goal Management: Demonstrated ability to help others set, track, and achieve their goals through actionable steps and structured follow-up.
Proficiency in Organisation and Project Management Tools: Strong skills in Google Suite (Google Calendar, Gmail, Google Drive), Asana, and other tools relevant to project and time management.
Accountability-Driven Mindset: Passionate about maintaining organised systems and holding people and themselves accountable to their goals and daily schedules.
Adaptability and Proactivity: Able to adjust to changing needs, suggest improvements, and build systems that maintain smooth operations.
Practical and Strategic Thinking: Balances big-picture goal-setting with day-to-day task management, ensuring long-term goals align with immediate actions.
Hands-On Task Implementation: Capable of not only organising tasks but actively executing them—handling research, coordinating logistics, and following through on required needs.
Tech Savvy with AI Expertise: Knowledgeable in using and researching AI tools to optimise productivity, along with a commitment to staying updated on the latest AI advancements to benefit family life.
Consistency: Keeping routines organised and ensuring they function seamlessly day-to-day.
Clear Communication: Keeping us informed on progress, schedules, and adjustments as priorities shift.
Accountability and Follow-Through: Ensuring goals are met and actions are implemented consistently.
Initiative: Being one step ahead by anticipating needs and suggesting improvements.
Please note that since this is a permanent work-from-home position and an "Independent Contractor" arrangement, the candidates must have their own computer and internet connection.
