We’re seeking a Customised Groups & Coach Charter Specialist to join our high-performing Groups & Charters team. About the Role As the Customised Groups & Coach Charter Specialist, you will take ownership of group travel programs and coach charter requests from initial enquiry right through to tour delivery. You will work closely with domestic and international trade partners, especially for charter work in the Red Centre, Top End and Sydney regions. Your role is all about creating seamless, high-quality travel experiences: designing tailored itineraries, securing the right vehicles and drivers, coordinating suppliers, and ensuring everything runs perfectly on the ground. You will be a trusted advisor to clients, a strong collaborator across our business, and an expert in turning ideas into unforgettable travel moments. What You’ll Be Doing Client Engagement and Sales Qualify new enquiries and understand client needs across Custom Groups and Coach Charter. Prepare bespoke itineraries, proposals and costings across Australia and New Zealand. Manage relationships with key domestic and international partners. Identify opportunities for repeat business and support tender submissions. Achieve revenue targets while maintaining strong commercial outcomes. Itinerary Design and Product Development Create creative, accurate and operationally sound itineraries that bring destinations to life. Source non-standard suppliers and negotiate competitive terms when required. Recommend value-adds or enhancements to elevate the guest experience. Maintain detailed knowledge of accommodation, attractions and tourism product across Australia and New Zealand. Operational Coordination Manage bookings end-to-end, from quote to delivery. Coordinate coach allocations, driver instructions and supplier confirmations. Prepare all required operational documents including rooming lists, vouchers, special requests and final itineraries. Support guest services and handle amendments with professionalism. Administration and Financial Accuracy Load all itinerary components into our booking system with precision. Process invoices, credits and adjustments in line with company procedures. Maintain clean and accurate booking files for reporting and reconciliation. Collaboration and Continuous Improvement Partner closely with Operations, Depots, Finance and Product teams. Support training of new team members and contribute to team development. Uphold all AAT Kings policies, safety standards and operational procedures. Look for smarter and more efficient ways to enhance our systems and customer experience. What You’ll Bring Experience in a fast-paced customer service environment (essential). Background in travel, tourism or group operations (highly regarded). Strong itinerary planning skills with a passion for creating memorable experiences. Excellent attention to detail, accuracy and organisational skills. Strong negotiation, communication and relationship-building abilities. A solutions-focused mindset with resilience in a dynamic environment. Proficiency with Microsoft systems. Knowledge of Australian and New Zealand tourism products is an advantage. Why AAT Kings?
