The Mobilisation Coordinator is instrumental in facilitating the deployment of personnel to various project sites within Catalpa Group. This role involves coordinating the logistics of personnel movement, ensuring compliance with project requirements and industry regulations, and maintaining effective communication with internal teams and external stakeholders. Main Duties / Responsibilities Coordinate and schedule mobilisation flights for new starters to all company projects Responsible for the coordination and booking of rotational flights and accommodation for projects or sites that are not self-sufficient. Responsible for ensuring employees have met all onboarding requirements prior to mobilising to site. Coordinate end to end mobilisation of personnel for all project sites Ensure employees hold the necessary qualifications, tickets, and licenses prior to site mobilisation or commencement. Ensure all mobilisations and demobilisations adhere and comply with project/company procedure and ensure strict compliance of mobilisation documentation requirements. Coordinate flight and accommodation bookings for catalpa employee business trip requirements Book flights, hotels and car hire to domestic and worldwide destinations. Assist in the development of Travel and Mobilisation policies, procedures and processes to ensure travel bookings are requested, approved and booked in a timely manner. Work with the Procurement team to source Accommodation, Flight and Transport providers, and set up PO and invoicing arrangements. Work with travel providers to set up corporate discounts and benefits for employees such as frequent flyer memberships Raise POs for Travel & Accommodation, validate and approve travel invoices and ensure procurement and accounts team receive these invoices in a timely manner Book flights and accommodation in accordance with best fares available and with preferred suppliers and utilise credits where available For new projects, support with the development of site-specific procedures for mobilisation including appropriate project requirements Build and maintain good working relationships with the client, project team and the employee being mobilised Support the recruitment team with the onboarding of personnel Act as a conduit between the project team, recruitment team and mobilisation to ensure timely manning is achieved in line with the program Required Skills & Experience Previous experience working in an industrial environment ideally within mining, oil and gas or construction Intermediate to advanced Microsoft office skills #J-18808-Ljbffr
