About the role The Property Officer is an integral part of the property team and, in some cases, will be the first contact by a wide range of internal and external stakeholders to assist in queries including leasing administration, project funding entities, local scout groups and will support the Property Strategy, Group Facilities Support and New Group Facilities Sub-committees with agendas, support information and minutes. Key functions of the role will include Develop and maintain strong professional relationships with volunteer stakeholders at all levels of the organisation. Management of Zoho desk enquiries and responses. Assist with stakeholder queries regarding Essential Safety Measure requirements. Updating stakeholders of Sub-Committee decisions. P2 applications, ensure they are completed correctly, pipeline report updated and decisions are communicated. Assist local groups with Utility and other account related issues. SubCommittee meetings. Monthly Property Strategic, Group Facilities Support and New Group Facilities. Preparing Subcommittee agendas, provide support documents, taking minutes and distributing. Administration Completion of Government grants, forms and reports. Assisting with the preparation of project financial acquittals with external funding partners. Managing processing and recording leasing documents in the Extranet and One drive folders. Collating building-related information including condition assessments, asset data, inspection program requirements, floorplan/spatial data and utilities connection. Reviewing and amending the project pipeline to ensure the accuracy of reported information and alignment with the project gateway process. Highlighting and expediting late or problematic outcomes. Assisting the Head of Property with BEC report compilation and actioning decisions. Property Sales listings and documentation. About you To be successful in this role you will be able to demonstrate: Positive and empathetic ability to communicate effectively with staff, volunteers, customers, and suppliers. Basic report writing skills. Basic Excel spreadsheet knowledge. Willingness to work in evenings to support the volunteer Sub-Committees. Satisfactory Police Check. Valid Working with Children Check Card. Communication and Relationship management. Administration duties in an accurate and timely manner. Compliance record keeping and reporting.
