Executive Assistant to Executive Director Planning and Development The City of Swan is seeking an experienced and highly capable professional to step into a diverse and rewarding role providing business support to our Executive Director Planning and Development. The Planning and Development Division shapes the City's growth and helps build the Swan economy and community. It does this by providing Strategic Planning services to guide development, Statutory Planning services to assess development, Health and Building services to ensure that standards of safety and public health are met. Working in a fast paced, politically sensitive environment, you will be the trusted liaison between the Council members, Executive Team, business units Managers and other major stakeholders. Your exceptional organisational skills, ability to anticipate needs as well as strong interpersonal skills will ensure success in this role. As the Executive Assistant to the Executive Director Planning & Development, you will; Provide a confidential, efficient, customer focused and proactive executive and business support service to the Executive Director Planning & Development Support the Executive Director in remote decision-making and ensure that the Executive Director is advised of urgent matters requiring their attention or issues that may be arising across the business that they need to be briefed on Proactively manage correspondence, both e-mails and letters received. This includes preparation of responses and briefing notes as required, keeping the Executive Director regularly updated on sensitive or time critical matters, and following up with the relevant City officers when responses are overdue Support the Executive Director by proactively responding to enquiries and requests from Councillors, residents, staff and other customers with a high level of discretion, maturity, diplomacy and judgement ensuring exceptional customer service. About you The successful candidate will have the following: A tertiary degree in a relevant area such as commerce, arts, planning, law or relevant experience Exceptional organisational skills, with a keen eye for detail and the ability to manage competing priorities under pressure Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Council members and members of the community Demonstrated proactive approaches to problem-solving with strong decision-making capability A satisfactory National Police Certificate is required. About working with us The salary for this position will be from $84,485.93 to $100,282.66 per annum, depending on the skills and experience of the successful applicant.
