Cheder Levi Yitzchok, a Chabad Lubavitch registered school located in St Kilda, is seeking a friendly, organised, and reliable Receptionist / Administration Officer to join our team starting in 2026. As part of a vibrant school community, you will play a key role in supporting the smooth day‑to‑day operations of the school and providing a welcoming first point of contact for students, families, staff, and visitors. Candidates must have valid Australian work rights to be eligible for this position. In this role, you will work closely with school leadership, teachers, and support staff to ensure efficient administrative processes and clear communication across the school. You will assist with front‑office operations, student and parent enquiries, scheduling, and general administrative tasks, while supporting the wellbeing and safety of all students. A minimum of 1‑2 years of school administration experience is required for this role. Responsibilities Phone messages and reception Monitoring visitors sign in and out Late pass and early leave for all CLY students monitoring via Compass Portal Mail dispatch from school email account about events, early dismissal, uniform order links, Term calendar, etc Scan and send invoices or bank statements to the Accounts Department Monitor and update DET Mandatory Reporting, VIT & WWWC in Airtable. Monitor and respond to CLY student applications and enrolment enquiries – pass these onto the relevant senior staff An Working with Children Check (employee) must be obtained before the start date. When students are late to class, add those entries in Airtable database Data entry and broader use of the school’s database and software to maintain records via the Compass Portal . This includes: Check that teachers have marked attendance rolls Entering late to school and late to class notices Creating & updating staff & student file Creating some reports such as “suspension” and “class lists” Creating Event (excursion & camps) Chronicling incidents and student behaviour when requested This role will also include: General support to the Administration Coordinator Placing some orders as well as unpacking them Maintain and update noticeboards as requested & required throughout school Monitor and respond to JotForms submitted to student management as required (e.g. uniform orders, excursion and other parental permissions) Management of school supplies Assist teachers with orders that they may wish to purchase once they have been approved Issuing of new staff lanyards Issue student handbook from Compass and excursion pack to teachers, as required when an excursion takes place Issue of CLY uniforms and maintenance of the Uniform Stocktake spreadsheet First Aid Duties Being First Aid Officer and maintaining supplies A current First Aid certificate must be obtained before the start date. Dealing with unwell children Attend to student first aid emergencies Dispense medication when necessary to students and enter into Compass chronicle via the sick‑bay tab, along with any other medication notes pertaining to students Routinely check that student medication, asthma and allergy action plans are up to date, and be in touch with parents to update this with their doctor Application Process To apply, please submit your resume, a cover letter, and a completed application form via Seek.
