We’re looking for our next Administration Assistant to join our friendly and dynamic team. This is a full-time role, but we’re flexible to suit the right candidate. Ideally, the position is for at least 20 hours per week, with the potential to work up to 38 hours. Shifts fall within our clinic hours: 7:30 am – 6:30 pm. Position Classification and Remuneration Award: Health Professionals and Support Services Award. Salary: $52,878.80 – $55,556.80 (FTE) + superannuation, depending on experience. Your Role As our Administration Assistant, you will be the friendly face of our clinic and a key part of keeping everything running smoothly. You will: Welcome and engage with clients, ensuring every visit feels personal, warm, and supportive Manage front reception duties and utilise multiple software systems efficiently Support our multidisciplinary team to create memorable client experiences Collaborate with senior admin staff, directors, and clinicians to maintain an enjoyable and productive work environment What We Are Looking For We’re looking for someone who is: Proactive & Initiative‑Driven: spot opportunities to improve processes and suggest new ideas Tech‑Savvy & Quick Learner: pick up new systems and processes easily Friendly & Personable: genuinely enjoy working with people and thrive on positive interactions Empathetic & Discreet: handle challenges thoughtfully and professionally Organised & Focused: thrive in a fast‑paced environment and manage tasks efficiently Team‑Oriented: enjoy collaborating and supporting colleagues Selection Criteria Tech‑Savvy: familiarity with Microsoft Office and Google Suite is a must, and confidence in using a variety of software systems is highly desirable (provide examples). Customer Service: excel at providing top‑notch customer service. Communication: strong communication skills across all demographics and support your team. Problem Solver: spot barriers within our systems and work with the senior admin team to find solutions. Compliance: a current RWVP card and Police check are required for successful applicants. Experience with the administrative management of N.D.I.S clients is not essential but highly desirable. Knowledge of how to use Nookal practice management system is a huge bonus, but not necessary.
