Australia's Golden Outback Australia's Golden Outback is a Regional Tourism Organisation covering more than 50% of Western Australia, from dramatic outback landscapes in the Gascoyne Murchison, unique wildflowers in the Wheatbelt, history and heritage in the Goldfields, and pristine coastal escapes in Esperance. We are a member based, not for profit organisation, working with regional stakeholders and the wider tourism industry to promote and develop this unique region. This role is pivotal in transforming how we operate—you'll not only keep our office running smoothly but actively identify opportunities to automate workflows, eliminate bottlenecks, and free up our team to focus on promoting and developing Western Australia's stunning Golden Outback region. We're seeking an experienced administrator who thrives on efficiency and gets genuine satisfaction from making things work better. You'll be trusted with significant autonomy to review our operations, recommend improvements, and implement solutions that enhance organisational efficiency. Reporting This role reports directly to the CEO. Key Responsibilities Office Administration (50%) Manage all office administration functions including phone and email correspondence Maintain and prepare financial records, process invoices, and manage corporate credit card acquittals (with bookkeeper support) Coordinate Board and sub‑committee meetings including agenda preparation, report compilation, financial summaries, minute‑taking and distribution, and venue / travel arrangements Support the Board Chairperson with governance documentation and compliance requirements Maintain organised filing systems and ensure document version control Process Improvement & Systems Optimisation (30%) Conduct comprehensive audit of existing office workflows and administrative processes Identify opportunities for automation and efficiency gains (e.g., invoice processing, membership renewals, reporting templates) Research, recommend, and implement appropriate automation tools and software solutions within budget parameters Design and document standardised procedures and systems for key administrative functions Monitor and measure the effectiveness of implemented improvements with clear KPIs Train team members on new systems and processes as they're rolled out Membership Administration (20%) Maintain and manage member database ensuring data accuracy and compliance Process membership renewals, applications, and prepare membership documentation Provide timely administrative support and information to members and potential members via email and phone Update member listings and business information on the Australia's Golden Outback website Coordinate distribution of member communications (newsletters, updates) as directed by the Marketing Manager Maintain records of non‑member businesses for future acquisition activities A Day in the Life Morning : Review and respond to overnight emails and phone messages. Process invoices and prepare payment batch. Update membership database with three new renewals and respond to a member query about their listing. Mid‑Morning : Meet with CEO to discuss upcoming Board meeting arrangements. Compile financial reports and confirm director attendance. Test the new automated invoice approval workflow you implemented last week— it's saving 2 hours per week Afternoon : Research administrative systems that can improve the organisation's efficiency. Update Board meeting minutes and distribute to directors. Quick check‑in with bookkeeper on month‑end reconciliation. Selection Criteria 3‑5 years progressive administrative experience with demonstrated increasing responsibility and complexity of duties Proven experience in process improvement and workflow optimisation, with specific examples of systems you've streamlined or automated Advanced Microsoft Office skills, particularly Excel (formulas, pivot tables, data analysis) and Outlook Experience with database management and CRM systems, ensuring data integrity and generating useful reports Exceptional organisational and time management skills with ability to manage competing priorities independently in a part‑time schedule High level of accuracy and attention to detail, particularly in financial record‑keeping and Board documentation Strong written and verbal communication skills, with ability to interact professionally with Board members, stakeholders, and members Proactive, solutions‑focused mindset with ability to identify problems and implement improvements without constant direction Ability to work effectively both independently and collaboratively within a small, close‑knit team environment Experience supporting Board governance and meeting coordination Experience working in small organisations, not‑for‑profit sector, or tourism industry Bookkeeping knowledge or understanding of basic accounting principles (MYOB, Xero) Website content management system (CMS) experience for updating member information Knowledge of Western Australia's Golden Outback region, its attractions, and tourism sector Application Please provide a CV and cover letter with your application by 19 December, detailing your interest in working for Australia's Golden Outback and how your experience meets the essential criteria.
