The Role The Events & Production Coordinator supports the Head of Media Marketing and Events in delivering Infinity’s national event and production programs. This role provides coordinated support across live events, media productions, podcast recording days, content capture, and technical event operations. It is an operational execution role, responsible for logistics, production assistance, and on-site coordination, not creative direction or production management. This position works closely with Imagine Experiences, Dreamweavers, the Community Manager, and external videographers to ensure smooth, professional delivery of Infinity’s signature experiences. Keys Responsibilities Event Coordination: Oversee venue sourcing, bookings, and comprehensive event logistics—including catering arrangements, room layouts, crew scheduling, runsheets, and attendee requirements. Organise and prepare essential event materials, manage travel bookings, and provide support during both event setup and pack-down phases for REM, Masterclass sessions, community events, and roadshows. Capture event content for marketing purposes and collaborate closely with Imagine Experiences and suppliers to ensure smooth execution and on-site assistance. Production Support: Plan and coordinate production days for podcasts, testimonials, and filming projects. Arrange talent and studio bookings, prepare detailed checklists and scripts, and facilitate all pre-production requirements. On-site, assist with technical setup—including lighting, microphones, signage, and other equipment—while cueing speakers, managing the timing and movements of talent, and capturing supplementary content. Offer hands‑on support for audio, lighting, and general production needs. After production, efficiently transfer files to editors, organise media assets, gather testimonials and content, and contribute to thorough post‑production debriefs. Note: No editing or creative direction is performed in this role. Community & Internal Support: Work alongside the Community Manager and Head of Media Marketing and Events to coordinate client events, brand-related projects, content capture, and event logistics. Assist with documentation, logistics planning, and provide on‑site support as needed. Administration & Operations: Maintain all event and production calendars, prepare briefing packs, detailed schedules, and itineraries to ensure timely operations. Organise supplier quotes, bookings, approvals, and oversee purchase administration. Manage clear and effective communication between internal teams and external suppliers. Support ongoing reporting, after-action reviews, and ensure organisational efficiency across all functions. What We’re Looking For Degree or diploma in Event Management, Communications, Media Production, Marketing, or similar. Valid driver licence and reliable transport. 1–4 years in events, media, AV support, production coordination, or hospitality. Strong organisational and communication skills. Ability to capture and edit basic mobile content for social media. Experienced working in fast‑paced live environments. Willingness to perform hands‑on, physical tasks during event and production setup. Basic AV/production literacy (microphones, lighting positions, audio levels).
