Export Shipping Coordinator

The Export Shipping Coordinator is responsible for managing the end-to-end logistics and documentation required for the international shipment of the company's commodities. This role ensures timely, cost-effective, and compliant movement of goods from the point of origin to the final destination, adhering to all international trade regulations and company standards. The coordinator acts as the primary liaison between internal sales and operations teams, external freight forwarders, carriers, customs brokers, and customers. Responsibilities Coordinate and book cargo space with freight forwarders and carriers (ocean, air, or land) based on sales contracts and delivery schedules. Monitor all stages of the export process, from cargo readiness and pickup to port arrival and vessel loading. Manage and track inventory related to export orders, ensuring correct stock allocation. Process all necessary export documentation, including Bills of Lading (B/L), Commercial Invoices, Packing Lists, Certificates of Origin, phytosanitary certificates (if applicable), and any required governmental forms. Ensure all documentation is accurate and compliant with Incoterms (e.g., FOB, CIF, CFR), Letters of Credit (LCs), and destination country regulations. Maintain up-to-date knowledge of export compliance, customs regulations, and trade restrictions. Handle discrepancies in documentation or customs clearances swiftly to avoid delays or penalties. Serve as the main point of contact for external logistics partners, negotiating rates and services where appropriate. Communicate proactively with the Sales and Trading teams regarding shipment status, potential delays, and cost updates. Liaise with the Finance department to ensure proper invoicing and payment processing. Provide excellent customer service by responding promptly to client inquiries regarding shipment tracking and documentation. Review and approve freight invoices, ensuring accuracy against contracted rates. Track and report delivery to internal stakeholders, update system data, and meet expected deadlines. Identify opportunities for process improvement and cost reduction in the export logistics chain. Education and Experience Supply Chain Management, Logistics, or a related field. Minimum 2 years of experience in international logistics, export coordination, or freight forwarding, preferably within the commodity trading or bulk cargo industry. Knowledge of complex international shipping documentation, including Letters of Credit (LCs). Skills and Competencies Expert knowledge of international shipping procedures, Incoterms, trade regulations. Exceptional organisational skills and attention to detail, crucial for accurate documentation. Strong verbal and written communication skills to interact effectively with internal and external stakeholders across different cultures and time zones. Proficiency in Microsoft Office Suite. Experience with external systems or dedicated logistics software is a plus. Ability to work independently, manage multiple priorities under tight deadlines, and troubleshoot logistics issues in real-time.
