The Contract Administrator is responsible for managing multiple construction projects currently at various stages including DA, CC, CDC and OC. The role requires strong organizational skills and the ability to liaise with consultants, architects, council officers, site teams and subcontractors. In addition to general contract administration duties, the position involves overseeing tiling contract packages across residential and commercial projects. Key Responsibilities: Manage and track DA, CC, CDC, and OC approvals. Liaise with councils, certifiers, architects, engineers, and consultants. Prepare and submit applications, respond to RFIs, and ensure compliance. Coordinate drawings, reports, certificates, and project information. Maintain approval registers and monitor key milestones to meet timelines. Support the Director with day-to-day project and project coordination. Prepare and manage purchase orders, materials, quotes, tenders, schedules, and variations. Liaise with subcontractors, suppliers, and site supervisors to ensure timely delivery and compliance. Maintain accurate project files, correspondence, and compliance records. Coordinate tiling packages for residential and commercial projects, including reviewing drawings, layouts, and specifications. Monitor site progress, perform quality checks, track material and labor costs, and assist with project close-out documentation. Key Duties and Responsibilities Administrative Management Oversee daily office operations to ensure a smooth and professional working environment Manage incoming calls, emails, correspondence, and customer inquiries Maintain and update company records, databases, and filing systems Prepare and process quotations, invoices, receipts, and job-related documents Monitor and manage office supplies, ensuring adequate stock levels Project Coordination Assist with scheduling tiling projects and coordinating appointments Liaise with technicians, installers, and site teams regarding job details Track project progress, update schedules, and maintain job-related documentation Coordinate the procurement and delivery of materials to job sites Review, read, and understand contracts related to projects, suppliers, and clients Ensure all contract terms are correctly documented, communicated, and followed Support management in verifying compliance with contract obligations Maintain secure and organized storage of all contract documents Financial and Reporting Support Assist with basic bookkeeping tasks including data entry, expense tracking, and financial filing Maintain petty cash records and monitor daily expenditures Support the preparation of weekly and monthly administrative reports Ensure accuracy and confidentiality of financial information Client and Supplier Relations Provide professional and courteous service to all clients and stakeholders Assist clients with inquiries, estimates, service details, and appointment scheduling Maintain strong working relationships with suppliers, contractors, and partners Qualifications and Requirements Minimum of 2 years of experience in an administrative or office support role (construction or tiling industry experience is an advantage) Strong organizational and multitasking abilities Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with accounting or invoicing software is an added advantage High attention to detail, professionalism, and integrity Ability to work independently and handle multiple priorities efficiently Preferred Attributes Knowledge of construction, tiling materials, or project scheduling Strong customer service skills and a professional demeanour Ability to work under pressure and meet deadlines Your application will include the following questions: Which of the following statements best describes your right to work in Australia?
