Monash Special Developmental School (Monash SDS) is a government school located in the North‑Eastern Victorian Region within the City of Monash. The school provides an educational program for children with moderate to profound intellectual and multiple disabilities, including autism spectrum disorder, from ages 2.8 to 18 years. Student enrolments are around 155. The campus is purpose‑built, well‑resourced and includes specialist facilities such as outdoor learning areas, a multi‑purpose gym, a hydrotherapy complex, a bike path and both indoor and outdoor sensory spaces. Monash SDS holds gold accreditation in School Wide Positive Behaviour Support (SWPBS), as well as accreditation in AMAZE and e‑Smart. Curriculum delivery follows the Victorian Curriculum with individual learning plans for each student. Teaching strategies include the STAR (Strategies for Teaching Based on Autism Research) and Links Program, both research‑based and based on principles of Applied Behaviour Analysis. These are delivered through Discrete Trial Training, Pivotal Response Training and Functional Routines instruction. A structured teaching framework provides a highly visual, organized environment that supports student understanding of schedules and expectations. Selection Criteria SC1: Demonstrated high‑level communication and interpersonal skills, providing a warm, professional, inclusive front‑office experience, building positive relationships with students, families, staff and visitors, and handling sensitive information and challenging interactions with professionalism and confidentiality. SC2: Strong organisational and administrative skills: managing multiple tasks, prioritising effectively, and meeting deadlines in a busy school environment. Experience maintaining accurate records and following administrative processes in line with DET policy. SC3: Proficiency with ICT systems to support administrative functions, including quick mastery of school‑based systems such as CASES21, Compass, Microsoft Office Suite, and general office technologies. Demonstrated accuracy in data entry and digital record‑keeping. SC4: Ability to work collaboratively as part of a professional team, maintain calm under pressure, and support the smooth daily operations of the school office, including assisting students during transitions. SC5: Commitment to the values, culture and community of Monash SDS, understanding the front office as the "vibrant heart" of the school. Role Context: Monash SDS is a dynamic, community‑focused school where every team member contributes to a warm, supportive, and highly professional environment for students, families, and staff. The Office Administrator is a key member of the administration team, working at the front office—the vibrant heart of our school. The role requires a welcoming presence, strong organisational skills, and the ability to manage competing demands while upholding DET policies and procedures. Purpose: Provide high‑quality administrative, reception, and clerical support to ensure smooth and efficient operation of the school office. Serve as the first point of contact for families, visitors, contractors and external agencies, representing the school with professionalism, warmth and respect. Also support students practically—escort them to and from classrooms, assist with transitions and contribute to a safe, calm environment. Responsibilities Administration & Reception Provide a professional, welcoming, and inclusive front‑of‑house service. Manage incoming enquiries via phone, email and in‑person, ensuring timely and accurate responses. Maintain confidentiality and uphold DET policies, including privacy, records management and professional conduct. Coordinate student attendance records, enrolment paperwork and data entry into school systems (e.g., CASES21, Compass). Student Support Responsibilities Escort students to and from classrooms, specialist programs, buses and supervised areas as needed. Assist students calmly and respectfully during transitions throughout the school day. Respond to student needs in the front office with sensitivity, professionalism, and care. Support staff in maintaining a safe and organised environment for all students. Operational Support Assist with general office operations: filing, photocopying, mail distribution and maintaining office supplies. Support first‑aid requirements as needed (training provided). Assist with booking meetings, arranging appointments and managing school calendars. Assist with school‑wide communication and preparation for programs and activities. Event & Catering Support Support the organisation and coordination of school events including graduations, assemblies, parent events and community activities. Assist with catering planning and preparation for events as required, maintaining supplies and liaising with external providers. Records Management Maintain accurate records, documents and databases. Support compliance processes including student files, medical plans, emergency management procedures and visitor sign‑ins. School Culture & Community Engagement Model the school values and contribute positively to the culture of Monash SDS. Be a key part of the "vibrant heart" of the school, fostering warm relationships, supporting students with sensitivity and contributing to a calm, organised front office environment. Work collaboratively with the leadership team, teachers, ES staff and allied health professionals.
