Service Stream are undergoing an exciting transformation project essential to positioning our rapidly growing, ASX-listed organisation for long-term success. We have a 12-18 month opportunity (fixed term or contracting) available for an organised and proactive SAP Program Project Coordinator to support the successful delivery of our SAP ERP transformation program. This role is based at our modern Melbourne Head Office featuring a balcony, BBQ area, collaborative and quiet spaces and an abundance of natural light. About the role Reporting to the SAP Program Manager, you will be an integral part of the Program Management Office (PMO). You will work closely with project managers, workstream leads, and other stakeholders to ensure alignment of activities and timely reporting of progress. By providing reliable coordination and support across the program, you will contribute to the smooth execution of this high-profile initiative. Your key responsibilities will include: 1. Schedule Management & Planning Maintaining and regularly updating the integrated master program schedule using Microsoft Project and JIRA, ensuring all workstream plans are aligned and key milestones are tracked. Coordinating with workstream leads to adjust timelines and dependencies as needed, providing transparency around any changes to the overall program plan. Leading the maintenance of the program’s RAID log (Risks, Assumptions, Issues, Dependencies), and ensuring all entries are up-to-date, well-documented, and assigned to owners for action. Coordinating and facilitating regular RAID review meetings to monitor the status of risks and issues, driving accountability for mitigation actions, and escalating critical items to program leadership as necessary. 3. Meetings & Coordination Organising and running recurring project status and governance meetings, including preparing agendas, scheduling attendees, and recording clear minutes, action items, and decisions. Collaborating across the Core ERP, People & Payroll and Inflight IT Projects to ensure interdependencies are managed and information is shared effectively, maintaining strong communication channels between teams. 4. Onboarding & Team Support Developing and managing the onboarding process for new program team members, including preparing orientation materials and coordinating introductions to team processes, tools, and key stakeholders. Acting as a central point of support for the program team by helping new and existing members navigate program tools and procedures and maintaining a repository of key program documentation (e.g. SharePoint libraries). 5. Reporting & Tools Supporting the preparation of program status reports and dashboards for various audiences (e.g. executive updates, steering committee packs), consolidating inputs from all workstreams and ensuring information is accurate and presented clearly. Utilising project management tools and systems (such as JIRA, ALM, SharePoint, and Excel) to capture updates, track deliverables and milestones, and generating reports. About you Our ideal candidate has experience in project coordination or PMO support roles, preferably within large-scale ERP implementations or similar business transformation programs. You are a skilled communicator, with a strong attention to detail, and ability to manage multiple tasks and stakeholders. You will also have: Tertiary qualifications in Business, Project Management, Information Systems or related field (desirable but not essential). Formal project management training or certification (e.g. PRINCE2, PMP or equivalent, however these are desirable, not essential). Strong proficiency in Microsoft Project for schedule management, as well as hands-on experience with project collaboration and tracking tools such as JIRA, SharePoint, and Excel. Demonstrated ability to effectively organise and facilitate structured meetings (e.g. status reviews, workshops), including preparing agendas and capturing clear actions, outcomes, and minutes. Strong interpersonal skills with a proven ability to influence stakeholders at all levels without direct authority. Solid understanding of project governance practices, including familiarity with RAID principles and experience maintaining risk/issue logs and other project control registers. Ability to thrive in a dynamic environment and navigate ambiguity.
