Project Coordinator - Program Support & Governance FinXL: Your Future in IT Starts Here FinXL is a leading Australian IT services and solutions company dedicated to deploying expert teams to tackle complex challenges in major programs. We are seeking a highly organized and proactive Project Coordinator to support a critical program team. The Opportunity We are seeking an experienced, multi-skilled Project Coordinator for a 6-month contract role starting in January 2026 in Melbourne. This pivotal role requires someone with a strong background in project, program, or PMO environments who can proactively drive and support core program governance activities. Key Responsibilities Project Governance & Controls: Support governance activities by maintaining the project schedule (in MSP), monitoring deliverables, and actively managing the Risk, Action, Issue, Dependencies, and Decision (RAID) registers . Reporting & Documentation: Lead the preparation, collation, and coordination of high-quality project governance and Program Board meeting papers , translating complex information into simple, understandable language. Lifecycle Support: Facilitate the project/program's reporting lifecycle, including creating and analyzing agendas, minutes, planning/review meetings , and maintaining the reporting calendar. PMO/Administrative Support: Manage essential administrative tasks, coordinate the onboarding and offboarding of project team members , and manage user access for project tools (JIRA, Confluence, SharePoint). Program Planning: Assist with information gathering and planning activities to ensure projects adhere to the approved methodology and framework. Required Skills & Experience Demonstrated Experience: Proven background working in a project, program, portfolio, or PMO environment supporting Program Leadership and Project Managers. Artefact Production: Demonstrated ability to produce and present high-quality program/project artefacts and create standardized documentation, processes, and toolsets. Tool Proficiency (Mandatory): Proficiency in the MS Suite including PowerPoint, SharePoint, Word, Excel, MS Project, and MS Visio . Initiative & Leadership: A proactive nature with the ability to lead with initiative and provide guidance relating to Program and Project assurance and governance.
