Practice Administrator / Medical Secretary – Orthopaedics Specialist Practice Full-time | Dynamic patient-facing & office role | Close-knit team Location: Sydney Metro (Norwest, Wahroonga, Darlinghurst) Type: Full Time (Monday-Friday) About Us Specialty Orthopaedics is a well-established private practice of 11 orthopaedic surgeons working across multiple sites, covering both upper and lower limb subspecialties. We are a busy, patient-focused practice dedicated to clinical excellence and high-quality care. Our team is collaborative, supportive and professional, with a strong culture of kindness, respect and helping people thrive. About the Role We're seeking an experienced Practice Administrator to join us full-time. This hands‑on, end‑to‑end role oversees the daily operations of one of our sub‑practices, working closely with a single specialist. You'll manage administration, surgical bookings, billing, patient communication, and manage busy patient‑facing clinics for the practice. The role is busy, dynamic and varied and is based across multiple Sydney metro locations including Norwest, Wahroonga and Darlinghurst — on a scheduled, rostered basis. The following will form a part of your daily operations: Patient & Front Desk Support: Manage check‑in, phones/emails, enquiries, appointments, follow‑ups and general patient assistance. Clinic & Surgical Coordination: Oversee clinic flow, theatre lists, surgical bookings, pre‑admission tasks and imaging/investigation bookings. Billing & Finance: Process payments, Medicare/health fund claims, third‑party billing, quotations and basic reconciliations. Records & Correspondence: Maintain patient and theatre records, scan/file documents and prepare/send letters and results. Practice Operations & Specialist Support: Provide administrative support, assist with stock and daily clinic operations, collaborate with clinicians, and contribute to process improvements. About You We're looking for someone warm, friendly and hard‑working, who enjoys supporting patients and keeping a busy practice running smoothly. You communicate clearly, stay organised, and handle competing priorities with confidence. You'll Bring A patient‑focused, professional manner with strong communication and phone skills A friendly, collaborative approach with the ability to work independently whilst still being part of a broader team Strong organisation and attention to detail, with confidence managing a fast‑paced workload Solid computer skills and experience with medical software (Gentu preferred) At least 2 years' experience in a specialist medical practice, including Medicare, Health fund and insurance billing.
