We are looking for an experienced and proactive Office Manager/Service Coordinator with about 5 years of experience, who thrives in a fast‑paced, people‑focused environment. In this role, you’ll be the heartbeat of the Sydney office—owning the day-to‑day operations, creating exceptional workplace experiences, and supporting senior leaders with high‑level executive assistance. Base pay range A$40.00/hr - A$50.00/hr This range is provided by Horizontal Talent. Your actual pay will be based on your skills and experience — talk with your recruiter to learn more. Key Responsibilities Office & Workplace Operations Act as the first point of contact for staff and visitors, ensuring a welcoming and professional environment. Oversee daily office operations including facilities coordination, vendor management, supplies, equipment, and workspace setup. Coordinate maintenance and building management requests, ensuring the office is safe, clean, and fully functional. Support onboarding processes—workspace preparation, access, induction support, and local office orientation. Manage mail, deliveries, and general office inventory. Workplace Experience & Events Coordinate internal events, meetings, conferences, and team activities—onsite and offsite. Support setup of meeting spaces including AV coordination, catering, and room configuration. Partner with internal teams (IT, HR, EA team, Workplace Services) to deliver seamless in‑office experiences. Become the go‑to local expert for restaurants, hotels, activities, and general area insights. Executive Support Provide diary, travel and meeting coordination for two senior leaders. Assist with document preparation, communications, and leadership support. Manage priorities proactively and exercise sound judgement with confidential information. Qualifications 5+ years’ experience in office operations, workplace services, hospitality, or executive/administrative support. Strong organisational skills, excellent attention to detail, and the ability to juggle multiple priorities. Confident communicator with exceptional interpersonal and written skills. Comfortable working in a dynamic, start‑up‑style environment within a global organisation. Sound judgement, discretion with confidential matters, and a service‑oriented mindset. Experience with facilities coordination, vendor management, or hospitality (front‑of‑house welcomed). Strong MS Office skills; familiarity with AV/conferencing systems is beneficial. Ability to be onsite 5 days per week.
