Based in Sydney, Wyer and Co. is a team of architects, designers, horticulturalists and construction specialists who collaborate with our clients to create, construct, and maintain exceptional landscapes for exceptional homes. Position Summary The Office Manager plays a vital role in ensuring the smooth and efficient operation of Wyer & Co's office and providing high‑level support to the Owner / Founder. This full‑time role is located at our Sydney office. The position is responsible for managing administrative processes, coordinating staff activities, maintaining systems and procedures, and creating a professional, organized and welcoming environment. Acting as a key point of contact for both internal and external stakeholders, the Office Manager ensures the delivery of exceptional service and operational excellence across all business functions. Key Responsibilities Administrative support and day‑to‑day operations: manage reception requirements, including answering phones, taking messages, and greeting clients. Prepare meeting spaces, ensuring refreshments and materials are ready prior to client appointments. Maintain office supplies inventory (tea, coffee, milk, sparkling water, etc.) and place timely orders. Manage incoming and outgoing mail, including depositing received cheques. Schedule appointments, coordinate meetings, and maintain company calendars. Prepare and update documents, spreadsheets, and presentations, ensuring accuracy and confidentiality. Manage IT requests and basic troubleshooting in coordination with external support. Develop and maintain efficient office procedures, systems, and policies to enhance productivity and streamline operations. Manage company assets, including vehicles, office services, and IT systems. Oversee facilities management, including maintenance requests and contractor coordination. Support the General Manager with monitoring office budgets, expenses, and invoice processing. Accounts: support with Xero (notes, comments, account allocation), Buildertrend, and Total Synergy as required; assist with accounts receivable. Construction & maintenance: compile and scan receipts, manage Bunnings and petrol card orders as instructed by management. Marketing: coordinate corporate gifts, thank‑you hampers, and seasonal orders (e.g., Christmas). Human Resources coordination: maintain employee records and onboarding checklists via HR Central; order uniforms and set up required software for new employees; coordinate training sessions, workshops and professional development initiatives; address employee queries, escalating concerns to management where appropriate. Communication and relationship management: serve as a primary point of contact for internal and external stakeholders, providing professional and courteous service; liaise with vendors, contractors, and service providers to ensure quality service and timely issue resolution; promote effective communication and collaboration within the office. Coordinate and plan company events, meetings and conferences, including logistics, travel and accommodation arrangements. Provide proactive administrative and logistical support to the Founder / Creative Director as required. Manage confidential information with the utmost discretion and professionalism. Assist with personal and business‑related ad‑hoc requests as directed. Qualifications and Skills Bachelor's degree in Business Administration or a related field (preferred). Proven experience in an office management or executive support role. Excellent organisational, multitasking and time‑management abilities. Strong verbal and written communication skills. High proficiency in MS Office Suite (Word, Excel, PowerPoint) and email management tools. Ability to manage competing priorities and adapt to changing circumstances. Demonstrated problem‑solving capability and ability to work independently. Working knowledge of HR administration and basic accounting principles (desirable). Strong interpersonal skills and the ability to work collaboratively across teams. Professional, resourceful and committed to maintaining a positive and productive work culture.
