Reporting into the Trust Manager you will ensure that a professional finance service is offered to both internal and external clients with respect to the management of the firm’s Trust accounts. This will include maintaining Trust and Controlled Money accounts, dealing with Trust enquiries in accordance with agreed timeframes, preparing Trust reports, bank payments and processing of PEXA entries. Responsibilities Ensure adherence to Law Society rules and regulations in regard to all trust transactions; Ensure adherence to firm policies, including authorisation levels, in relation to office and trust transactions; Ensure all Trust enquiries are attended to in accordance with agreed timeframes received either via telephone or group shared inbox; Process trust payments via either cheque, EFT or PEXA; Collect bank cheques for settlements; Process trust to office transfers to pay outstanding bills; Process trust to trust transfers; Receipt cheques and direct deposits into Practice Management System (PMS); Deposit trust daily banking into firm bank account; Enter trust bank statement daily into PMS; Maintain the firm’s investments register (if required); Monthly preparation of the trust bank reconciliation; Ensure unpresented trust cheques are followed up monthly and that no cheques greater than six months appear on the bank reconciliation; Follow up of dormant trust balances monthly; Complete, analyse and review regular trust reports and firm reports as required; Ensure that the statutory deposit accounts are maintained on a regular basis (if required) in accordance with regulations; Preparation of the annual Trust Audit and liaising with external examiners (auditors); Provide assistance to other Finance team members when required; Perform other tasks, as required by your manager; Provide leave coverage as required; Meet regularly with team to discuss any changes or outstanding issues relating to trust account operations; Attend regular in-house training sessions, research Law Society regulations updates and external seminars to maintain/upgrade skills and awareness on policies and procedures. Requirements 2 year experience preferred in a trust role; Experience in time-based accounting system; Experience of working in a professional services environment desirable. Knowledge of Microsoft Office, as well as Expert is desirable; Ability to communicate well both verbally and in writing, to a diverse audience; Strong attention to detail, high risk area that requires 100% accuracy in processing; Ability to influence stakeholders including obtaining necessary approvals within required timeframes, liaising with financial institutions to extend deadlines etc; Demonstrated ability to use a high degree of initiative, and adopt a proactive approach to work; Knowledge of Law Society rules and regulations in the jurisdictions in which the firm operates with respect to trust accounts and controlled money accounts; Exposure to computerised financial systems and practice management software (Aderant preferred but not essential); Strong communication skills with particular focus on client relationships; Highly developed time management and organisational skills with the ability to give attention to detail, to work under pressure and adhere to tight deadlines, and has the flexibility to work additional hours when necessary; Possesses a service-oriented focus with the ability to professionally communicate and deal with all internal and external clients; Norton Rose Fulbright values diversity and strives to create an inclusive environment.
