How You’ll Make a Difference Reporting to the local Port Manager, your key responsibilities will include: Acting as the main point of contact for crew regarding operational administration and general support. Monitoring and maintaining compliance with crew certifications, inductions, and training requirements. Supporting the onboarding of new crew, including arranging PPE, and verifying completion of all required inductions and documentation for site access. Managing site vehicle needs, including novated lease arrangements and fuel card coordination. Preparing and reviewing crew timesheets to support accurate and timely payroll processing. Scheduling and coordinating meetings, events, and site visits for operational staff and stakeholders. Maintaining stock levels of office supplies, stationery, and other operational support materials. Processing purchase orders and ensuring accurate invoice coding and tracking. Assisting with the preparation of reports, presentations and correspondence. Contributing to safety and wellbeing activities as a designated Fire Warden and First Aid Officer. What You’ll Bring To thrive in this role, you’ll bring: Demonstrated experience in administrative, office coordination or operational support roles – familiarity with the maritime industry is an advantage. Strong organisational skills with the ability to prioritise tasks, meet deadlines, and stay focused in a fast‑paced environment. A high level of attention to detail and accuracy across all aspects of your work. Confidence in interpreting and following operational procedures and processes. A personable, approachable nature – you enjoy building relationships and supporting a cohesive, collaborative team environment. Solid computer literacy, including experience with Microsoft Office and business systems – exposure to platforms such as Workday, Sertica, or accounting programmes will be highly regarded. The ability to handle confidential and sensitive information with discretion and professionalism.
