Senior Medical Secretary (3-4 days/week) – Urology Specialist Practice – Southeast Melbourne Join a growing, single‑surgeon specialist urology practice in Melbourne’s southeast and play a key role in delivering first‑class patient experience and efficient clinic operations. About us We are a growing urology practice committed to high‑quality patient care and a supportive, professional environment. You will work closely with the Practice Manager and the sole surgeon to help maintain smooth operations across clinic, theatre and consulting workflows. The role Working 3-4 days per week (Mon‑Weds or Mon‑Thurs, negotiable) you will: Manage incoming calls, patient enquiries and appointment bookings with an excellent phone manner Coordinate the surgeon’s diary, clinic bookings, theatre scheduling and patient administrative workflow Use practice management software (Xestro) to manage patient records, referrals, billing and reporting Ensure accurate and timely preparation of patient documentation, correspondence and medical records Liaise with allied health, hospital teams, insurers and patients to ensure seamless service delivery Work collaboratively with the Practice Manager and other support staff, contributing to continuous improvement of workflow and patient experience Take payments and manage the waiting room for sessional staff Skills & Experience Minimum 3+ years’ experience as a medical secretary in a specialist (preferably surgical) practice Proficiency using medical practice software (experience with Xestro is highly desirable) Outstanding phone manner, strong interpersonal and communication skills Excellent organisational skills, attention to detail, ability to multitask in a fast‑paced environment Professional demeanour, strong work ethic, and ability to maintain confidentiality Ability to work independently as well as part of a small team What we offer A supportive work environment within a small, friendly team Flexible part‑time arrangement (choose 3 or 4 days/week) offering excellent work‑life balance Opportunity to work in a specialist surgical practice and expand your experience Professional development support and career growth potential How to apply Interested candidates are invited to submit a resume and cover letter outlining your relevant experience, availability (preferred days) and software proficiency.
