The clinics provide general and advanced dental services including orthodontics, implants, cosmetic dentistry, and emergency treatments. Prabhu Kirpa Pty Ltd is seeking a highly organised and proactive Office Manager to ensure the smooth and efficient daily operation of busy dental practice at Swansea NSW 2281. This is a pivotal leadership role, responsible for overseeing administrative functions, enhancing patient satisfaction, and supporting the clinical team to deliver exceptional care. The primary purpose of the Office Manager position is to provide strong operational leadership, manage front-of-house team, and implement systems that support the clinic's growth and commitment to excellence. Minimum Requirements Qualification: Diploma in Business Administration, Leadership, or a related field is highly regarded. Experience: Minimum one year of experience in an office management or practice manager role, preferably within a healthcare setting. Skills: High proficiency in practice management software and the MS Office suite. Responsibilities Oversee the daily administrative operations of the dental practice, including appointment scheduling, patient billing, and accounts receivable / payable. Lead, train, and manage the front office team, fostering a positive, efficient, and patient-focused work environment. Manage patient enquiries and communication with a high level of professionalism, resolving any issues to ensure exceptional patient experiences. Maintain and optimize the practice management software system, ensuring data integrity and generating operational reports. Implement and monitor office policies and procedures to improve efficiency and compliance. Manage inventory of office and clinical supplies, liaising with suppliers and controlling costs. Handle staff rostering, payroll processing, and support HR administration in conjunction with the practice owners. Ensure the front office and patient waiting areas are presented to the highest standard. Coordinate marketing initiatives and manage the practice's social media presence to attract new patients. Collaborate with the Principal Dentist and clinical team to achieve business goals and maintain seamless clinic workflows. Qualities and Skills Proven leadership skills with the ability to motivate and manage a team. Exceptional communication and interpersonal skills, with a strong customer-service ethos. High-level organisational skills and the ability to multitask in a fast-paced environment. Financial acumen with experience in budgeting, reporting, and basic bookkeeping. A proactive and problem-solving attitude, with a keen eye for detail. Discretion and a thorough understanding of patient confidentiality and privacy principles.
