We are a fast-paced FIFO based maintenance company dedicated to delivering exceptional support to projects across Western Australia. With a focus on mould remediation and site maintenance, our team values safety, reliability and integrity. We are currently seeking a proactive and organised Operations Administrator to join our small admin team based in Gnangara. Find out more about who we are and what we do at Role Overview As the Operations Administrator , you will be responsible for reports creation, preparing and submitting documentation and quotations and miscellaneous day‑to‑day administrative tasks, working closely with the Operations Manager and other office staff. More specifically, you will be responsible for creating photograph and content reports, liaising with our clients to provide updates in a timely fashion, processing quotes and purchase orders whilst maintaining accuracy in our records and supporting other administrative functions across our portfolio. You will be working alongside a full‑time scheduler / operations administrator and liaising and syncing up workflow will be an integral part of your day. Key Responsibilities & Focus Reporting & Documentation: Prepare and maintain photo and content reports using information provided by the teams. Liaise with the teams to ensure accurate reporting and documentation of works. Administrative Support: Communicate with clients to maintain accurate chains of communication. Support wider operations with ad‑hoc administrative tasks. Quoting & Purchase Orders: Raise purchase orders for suppliers and subcontractors. Assist in compiling quotes for maintenance and construction projects. Submit information to the accounts team for invoicing. Communication: Daily collaboration with the Operations Manager and other Admin / Office team members. Communicate effectively with suppliers, contractors and internal staff. What We're Looking For Required: Minimum 2 years of experience in an administrative support role. Strong Microsoft Office skills (Excel, Outlook, Word). High attention to detail and time‑management skills. Clear, confident communication style. Australian work rights are required for this position. Desirable: Experience in reports preparation and familiar with Canva. Familiarity with maintenance or construction project workflows. Prior use of Xero. Why Join Us?
