Theatre Bookings Clerk – Direct Endoscopy Full-Time | Multi-Site (5 Day Surgery Centres Across Melbourne) Are you highly organised, calm under pressure, and passionate about delivering exceptional patient experiences?Direct Endoscopy is seeking a Theatre Bookings Clerk to join our dynamic and growing team. This role is central to ensuring the smooth and efficient coordination of our theatre lists across five busy day hospitals. You will work closely with clinicians, practice managers, medical representatives, and hospital caregivers playing a vital role in supporting safe, timely, and high-quality care. About the Role As our Theatre Bookings Clerk, you will be responsible for reviewing, entering, and managing all patient procedure bookings and theatre schedules. You will be the primary contact for surgeons, specialist rooms, and internal teams, ensuring communication is clear, accurate, and timely. Key Responsibilities Enter and maintain all direct-access patient bookings across five sites Structure theatre lists according to gastroenterologist and hospital guidelines Coordinate bookings with surgeons and their rooms to ensure accuracy and completeness Obtain and maintain anaesthetist schedules, including on-call rosters Finalise and ensure theatre list accuracy and readiness daily by 4:30 pm Maintain Medical Wizard theatre session modules Liaise professionally with specialists, consulting suites, and internal teams Provide administrative support to theatre and surgical teams Support the delivery of an efficient and positive patient experience About You You thrive in a fast-paced clinical environment and take pride in accuracy, communication, and teamwork. What You Bring Experience with hospital patient administration or theatre systems Exceptional verbal and written communication skills Strong customer service approach and professional phone manner Excellent time management and organisational skillsIntermediate to advanced Microsoft Office proficiency Ability to prioritise and manage competing demands A commitment to quality, safety, and patient-centred care Requirements National Police Check (within the last 12 months) Proof of immunisation consistent with CAT A Healthcare Worker requirements Balancing session timing, procedure durations, and VMO availability Managing patient inquiries, changes, and cancellations effectively Coordinating schedules across multiple sites and stakeholders Why Join Direct Endoscopy?
