Critical Support role to Executive and Business

The Executive Support Officer is a critical role for the organisation reporting to and working closely with the CEO.

The role is varied and also supports the functions of other departments such as policy and membership by ensuring the internal systems such as CRM (Salesforce) and website (wordpress) are up to date.

Objective 1: Support the CEO

  • Support the CEO in his role
  • Support the CEO in compiling quarterly board reports and good governance
  • Support the effective and efficient operations of the office and the work environment for the AIIA team.

Objective 2: Website

  • Ensure that the Company’s website is up to date and contains all appropriate information as required by the Company and its member base.
  • Ensure that the links between the CRM platform (Salesforce) and the website are intact to retain data accuracy.
  • Continue to find ways to keep the website fresh, of value and interest for those who access it.

Objective 3: Internal Systems and Support

  • CRM Support: Back-end support to the AIIA team sharing Administration rights of the Salesforce system with the CEO. Therefore, strong knowledge of Salesforce is highly desirable. This includes the maintenance of accurate records and data.
  • Systems Support: Provide assistance to the CEO and support for the team through the support of the Outlook email platform maintaining distribution lists, email addresses and so forth.
  • Document Management: Oversee the maintenance of data storage in the organisation through its Google Drive platform.

Objective 4: Board, State and Territory Council and PAN Support

  • Maintain accurate records of the make-up of the Board, State and Territory Council membership.
  • Maintain accurate records of members of the Policy Advisory Networks (PANs)
  • Set up diary meetings for the Councils with correct meeting details.
  • Collect, distribute and store Minutes from the various meetings
  • For the national PAN meetings, record high level minutes (now using AI note taking tools) and distribute meeting notices and agendas (working with Chairs and GM of Policy and Media)
  • Manage the annual election cycle details including the setting up of the digital election platform, the election process and its proper conduct.

What we are looking for:

  • Executive support experience within a Chamber, Association, NFP or company
  • Salesforce CRM experience crucial with Wordpress (website) desirable
  • Be highly motivated and results driven with exceptional organisational skills
  • Excellent communication, presentation and time management skills
  • Energetic, enthusiastic, innovative, inspiring and results driven
  • Be proactive and able to make decisions
  • Sound judgement and decision making
