Full Job DescriptionBoutique's client, a well-recognised company in the management consultancy sector, is seeking a highly skilled and motivated Executive Assistant to provide top-level support to a fast-paced C-suite team based in the heart of Sydney's CBD.
This role offers an exciting and rewarding opportunity for an individual who thrives in a dynamic, high-pressure environment and is ready to take full ownership of their career progression.
As the trusted right-hand to the CEO and executive leadership team, you will manage complex diaries, coordinate high-level meetings, and organise intricate travel arrangements across multiple time zones.
Your role will be crucial in ensuring the seamless day-to-day operations of the executive office, maintaining efficiency and clear communication at all times.
Beyond these key responsibilities, you'll provide broader team support, assist with event planning, and oversee a variety of administrative tasks that help the team perform at its best.

Responsibilities:Manage the CEO's diary and calendar, as well as scheduling meetings for the C-suite and Executive Team.Coordinate external board committee meetings, liaising with stakeholders to organise meetings, agendas, and board papers.Coordinate the quarterly CEO report for board papers and the CEO's monthly business update by gathering input from the broader team.Manage end-to-end meeting and conference coordination, including room bookings, pre-reading, equipment setup, and catering.Prepare and format PowerPoint presentations for meetings and conferences.Handle complex travel bookings and arrangements, including both interstate and international travel.Arrange client lunches, dinners, and internal events, as well as coordinate roundtable discussions and events.Manage corporate credit card reconciliation and expense reimbursements.Collaborate closely with the MD of Marketing on internal and external communications.Review legal documents for execution and keep the training register updated.Arrange service anniversary gifts for staff and monitor office and travel costs.Ensure the seamless operation of the Sydney office, including office management.Assist with onboarding new team members, facilitating a smooth transition into the company.Manage two administrative team members and support cultural activities and events.Skills and ExperienceMinimum of 3 years C-Suite Executive Assistant experience.Microsoft Office suite including PowerPoint.Exceptional organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly.Strong interpersonal skills with the ability to build relationships with stakeholders, including staff, board members, external partners, and investors.Expert-level written and verbal communication skills.Ability to lead and manage a team of administrators, enabling them to learn and grow in their space.How to ApplyClick the Apply Now button or for a confidential discussion call to speak to one of our consultants.
