Executive Assistant - 6 month FTC – MiQ Reporting to: CEO, JAPAC Location: Sydney, Australia Role Length: 6 Month FTC (Maternity cover) Job Description We’re MiQ, a global programmatic media partner for marketers and agencies. In this role as Executive Assistant to the CEO, JAPAC, you will be the primary point of contact for the CEO, expertly managing their schedule, travel, and communications. You will be responsible for a wide range of tasks, including planning and coordinating travel, meetings and events, preparing key documents and presentations, and assisting with internal reporting. By leveraging your project management skills and ability to influence, you'll ensure seamless operations and contribute to the broader goals of the organization. Ultimately, you'll act as a true partner to the CEO, proactively tackling challenges and finding new, innovative ways to support their work and the overall success of MiQ. Planning & Organising Efficiently manage executive schedules, including arranging appointments, meetings, and travel itineraries, keeping stakeholders updated and ensuring expectations are managed. Prepare and edit correspondence, reports, presentations, and other documents as requested by executive. Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring executives' itineraries are optimized and travel expenses are managed efficiently. Act as the primary point of contact between executives and internal/external stakeholders, screening and directing inquiries appropriately. Ensure updates are to a high standard, both stakeholder friendly and technically accurate. Ensure the efficient and accurate management of the CEO’s expenses, maintaining confidentiality and adherence to financial guidelines. Project Management Regularly exceed project expectations (deadlines, deliverables, costs). Event management support for key client and staff activities. Maintain and update executives' contacts, files, and records, ensuring information is organized and easily accessible. Internal Collaboration Consistently frame communications to reflect appropriate level of urgency. Be approachable and assist other team members. Assisting on internal commercial reporting, as required. Persuading & Influencing Understand how your project or work adds value to the bigger department picture. Leverage relationships and information gathered through conversations to adapt our offering to different scenarios. Innovation Review old problems in new ways, and consistently suggest new approaches for all types of challenges. Proactively seek to test, validate, and improve new ideas or methods. What you’ll bring Proven experience as an executive assistant or similar role, preferably in a fast‑paced corporate environment. Exceptional organizational and time‑management skills, with the ability to prioritize tasks and meet deadlines effectively. Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels. Demonstrated ability to handle confidential information with discretion and maintain professionalism in all interactions. Flexibility and adaptability to changing priorities and demands, with the ability to multitask and remain calm under pressure. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Product Suite. A can‑do attitude, with a dream to grow alongside us.
