Service Coordinator/Customer Service & Administration Busch Vacuum Pumps and Systems is one of the largest manufacturers of vacuum pumps, blowers and compressors in the world. Our product range comprises solutions for vacuum and overpressure technology in all industry sectors. The role A role that you will never be bored in You will be working as part of a team in Brisbane supporting technicians and you will have both autonomy and be part of a larger Australian/NZ team. The job comprises of three major parts: To provide excellence in external customer service Scheduling of all Field Service Technicians appointments Administration and data management to support the field service function. Main responsibilities Providing excellence in customer service including building and maintaining relationships with existing and new customers. Responsible for the external field service technicians' appointments. Efficiently and accurately conduct a variety of administration duties including managing the CRM database and proactively follow up with customers as required. Maintain and keep up to date documentation supporting all technicians' licences, police checks, inductions and other relevant certifications. Provide support through spare parts management. Help identify areas for process improvement and waste elimination. Demonstrated experience in successfully coordinating, planning and scheduling of appointments for a small team of technicians. Exceptional customer service skills with demonstrated high interpersonal skills. Excellent organizational skills including ability to prioritize and work within required time frames and make sound logical decisions when required to find solutions to challenges. Advanced data entry skills in Excel. The ability and willingness to learn new software packages. Capability to operate autonomously and work collaboratively with other staff. Capacity to work calmly and methodically in an environment that can be time pressured by client demands and client emergencies. A formal qualification in either business or administration is desirable but not essential. Key qualifications & skills Demonstrated experience in coordinating, planning and scheduling appointments for a small team of technicians. Exceptional customer service skills and high interpersonal skills. Excellent organizational and prioritisation abilities. Advanced data entry skills in Excel. Willingness to learn new software packages. Ability to work autonomously and collaboratively. Capacity to remain calm and methodical under time pressure.
