We’re on the hunt for a proactive, detail-driven, and people-loving Office Coordinator to join our dynamic team at Maxi‑Jazz Dance Studio. This isn’t your average admin gig. You’ll be at the centre of a fast-paced studio with over 350 students, 85+ classes per week, a retail space, and a jam-packed events calendar. We’re looking for someone who thrives on structure and systems, loves tech, and can balance backend tasks with big‑picture thinking. This is the glue role that keeps the office, families, and our studio operations running seamlessly. This is a permanent part‑time role (25–30 hours per week) with room to grow into a full‑time or management position for the right person. Day / Afternoons across Monday to Thursday are essential, with some evening or event support required throughout the year. You’ll work closely with our leadership and coordinator teams to ensure a smooth and professional studio experience for everyone who walks through our doors. Responsibilities Managing studio‑wide admin operations and communication systems Setting, tracking, and reporting on key studio and team KPIs Coordinating weekly staff comms, training calendars, and onboarding processes Managing rosters and backup contingencies across all teams Overseeing the upkeep of Trello boards, DSP data, venue standards, and retail stock Coordinating Concerts, Celebration Week, Student Awards, Birthday Week, Spotlight Moments and gifts Preparing and managing all comp season logistics, entries, travel, and communications Managing testimonials, social media highlights, business award submissions and community promos Tracking enrolment trends, referral offers, and new student onboarding Supporting the DanceStep Program, MYSC, concert logistics, and award ordering Creating and sharing internal resources, award tracking, student onboarding, and studio‑wide tools Supporting the CVO, Program Manager and FOH teams with anything and everything needed to keep the studio running at its best Note: There may be reasonable duties in addition to those listed in this position description. Excellent written and verbal communication skills, comfortable managing internal and external messaging with clarity and warmth. Ability to prioritise and multitask: juggling multiple tasks without dropping the ball. Tech savvy: quick adaptation to platforms such as Canva, Trello, DanceStudio‑Pro, MailChimp, and Google Drive. Fabulous communication skills: maintaining relationships, taking personal responsibility for actions, and connecting with people warmly. Team player: thriving in a high‑energy, fast‑paced environment. Integrity and confidentiality: handling tasks with professionalism. Flexibility and involvement: willing to be involved in duties outside the office such as concerts, presentations, awards nights, and student events. Marketing and sales background (desirable).
