Are you a highly organised and proactive Executive Assistant with property management experience looking for an exciting opportunity? JLL is seeking a skilled Property Management Executive Assistant to join our Property & Asset Management (PAM) team in Western Australia. About the role Join JLL's dynamic Property & Asset Management team in Perth as a Property Management Executive Assistant, where you'll provide essential administrative support to our senior executive team across multiple property segments including Office & Industrial, Retail, and Commercial properties. This is an exciting opportunity for an experienced Executive Assistant to take on a specialised role within Australia's leading commercial real estate services company, supporting high-level property management operations and client relationships. Key Responsibilities Executive Support & Administration Provide comprehensive administrative support to WA Executive Directors and senior team Manage complex calendars, travel arrangements, and expense processing for multiple stakeholders Handle specialised property invoicing across EOS, Retail, and Commercial segments Process payment requests and maintain financial documentation Property Management Operations Maintain bank guarantee registers and Management Agreement libraries Draft, execute, and track Management Agreements (MAAs) Coordinate lease renewal administration and raise leasing fees Manage vendor invoice payments and corporate debtor processes Track property inspections and variable outgoings audits Team Coordination & Events Organise management meetings, quarterly presentations, and awards submissions Coordinate new starter onboarding including IT setup, building access, and training schedules Plan team events including Christmas functions, and client meetings Manage distribution lists and SharePoint access permissions Business Development Support Support business development activities and pitch document preparation Coordinate marketing activities for retail leasing including digital platforms Assist with award submissions and recognition programs Sound like you? This is what we're looking for : Minimum 3 years experience in an Executive Assistant or administrative role, preferably within property management or real estate Strong organisational skills Excellent written and verbal communication skills Advanced proficiency in Microsoft Office suite and property management software Experience with legal documentation and financial processes Ability to work autonomously while supporting diverse stakeholder requirements Strong attention to detail, particularly for compliance and financial documentation Experience in a fast-paced corporate environment with demanding deadlines What can you expect from us?
