About the role Working as part of the Corporate Services Division, the Accounts Payable & Admin Officer will provide clerical support and work onsite in the HRL head office located in Mulgrave. This role will be full-time and on-site in our Mulgrave head office. The HRL business is also open to applicants from persons wishing to work part-time, and can be discussed in the interview process. The Accounts Payable & Admin Officer will be responsible for the following tasks: Accounts Payable: Set up new supplier accounts, process purchase orders, creditor invoices and corporate credit card statements, prepare supplier payment runs for approval, and complete monthly creditor reconciliations. Project Administration: Support project setup in Pronto and undertake related administrative and financial tasks to ensure accurate project costing and tracking - experience with Pronto is essential. Accounts Receivable: Assist with the preparation and processing of customer invoices, including receipting payments, issuing monthly statements, establishing new customer accounts, and supporting cash collection activities when required. Compliance & Governance: Ensure adherence to company financial authority levels and internal controls. Timekeeping & Costing: Enter timesheets into the project costing system accurately and in line with required timeframes. Corporate Administration: Provide general administrative support across the Corporate Division, including maintaining procedures, preparing reports, and drafting correspondence. Performance & Deadlines: Contribute to meeting monthly, quarterly, and annual reporting cycles, and deliver work to agreed KPIs and timeframes. About you You will be energetic in your approach, a committed and enthusiastic team player, passionate to pursue continuous learning and willing to undertake a wide range of tasks. You must be flexible in your work approach and able to handle changing demands and priorities to meet Company and customer expectations. You will have: Minimum of 3 years' experience in Accounts Payable and administrative functions required; ample training will be provided within the team. About the role The Project Support offers key operational support role and works closely with Project Managers and Engineering teams across all HRL sites. This role ensures smooth planning, coordination, and administration of project activities, particularly for site-based work. You will streamline project administration tasks, maintain compliance records, coordinate logistics and equipment movements, and support timely invoicing processes. This role is full-time and on-site at Mulgrave, with travel to project sites as required. Key Responsibilities Prepare project-related documentation, including overtime forms, travel forms and other field mobilisation paperwork Prepare and consolidate team timesheets during projects Coordinate site access requirements including inductions, pre-employment medicals (if required), and access approvals Manage and coordinate logistics and shipment of equipment to and from project sites Maintain the site access and competency database (confined space, working at heights, white card, EWP, etc.), ensuring all certifications are current Consolidate internal and external project costs for invoicing, reducing administrative load on Project Managers Prepare monthly or progressive invoicing documentation to support accurate and timely client billing Provide operational support across all Engineering sites Travel to project sites from time to time to support mobilisation, logistics and administrative coordination About you You will be organised, proactive and experienced in coordinating operational tasks across a busy and varied working environment. You enjoy working in a team and building strong working relationships, with the ability to prioritise demands and maintain accuracy and reliability in your work. You will have: Experience in project administration, site coordination, logistics support, or an equivalent operational support role Strong organisational skills with the ability to coordinate multiple tasks and deadlines Confidence engaging with stakeholders at all levels including contractors, engineers, and clients High attention to detail and accuracy in documentation and reporting Proficiency with MS Office (Excel essential); experience with business systems/software highly regarded Understanding of OH&S, site safety, or contractor mobilisation processes (desirable) Flexibility and willingness to travel to job sites when required Full working rights in Australia Why HRL? About the Role This position will suit someone who comes from a trade background, to undertake a wide range of ad-hoc technical, operational and project-related assignments in the office, laboratory, workshop and on client sites. Duties will include but are not limited to: Inspecting, testing and evaluating structures/plant, using various techniques and equipment. Documenting and reporting results. Calibrating equipment. Testing and tagging. Working on client sites; running of cables to Engineers and Technicians. Setting and packing up of equipment to assist works/projects. Scheduling of jobs and office maintenance; liaising with landlords, trades, other stakeholders. Preparing detailed and accurate project cost estimates. Maintaining stock of supplies for the laboratory, workshop and office, including chemicals, workshop and office consumables. Repairing and maintaining laboratory, workshop and office equipment. It is also important to note, with clients based nationally and internationally, there will be travel requirements domestically and overseas for short-term project work. About you You will be energetic and flexible in your approach to manage a mix of technical and coordination responsibilities and handle changing demands and priorities to meet company and customer expectations. You will have: A trade background and at least 2 years of experience in a technical environment. Experience as a fitter and turner, which will be highly regarded. Broad knowledge of power generation and/or heavy industry. A range of workshop skills (including to manufacture specialised testing equipment). A willingness to travel. Ability to provide technical advice to other colleagues. Ability to develop and maintain client relationships. A flair for science and engineering.
