LTD. – Sydney CBD NSW Office Operations Oversee the daily operations of the HDAU office, including facility maintenance, asset and equipment management (procurement, repair, and maintenance). Serve as the main administrative contact point for both internal stakeholders and external partners (e.g., landlords, vendors, and suppliers). Manage office supplies, stationery, and pantry inventory, purchasing and budget control. Coordinate and supervise various vendor services (e.g. cleaning, IT support, courier and postal services, and maintenance providers). Ensure a professional, safe, and well‑organized office environment. Finance & Accounting Support Collaborate closely with external accounting firms or the headquarters finance team to handle local office financial administration. Handle employee expense reimbursements, ensuring accuracy, policy compliance, and timely processing. Handle vendor invoices, payments… Assist with petty cash management, if applicable. HR Administrative Support Support recruitment logistics and new hire onboarding, including documentation, workstation setup, access and equipment arrangement. Coordinate employee engagement activities, team‑building events, and holiday events. Serve as a communication bridge between employees and management, fostering a positive work environment. Event & Meeting Coordination Organise internal and external meetings, including logistics, schedules, and material preparation. Assist in planning and executing corporate events and client hospitality activities. Manage client and visitor reception, maintaining a professional corporate image. Compliance & Document Management Ensure office operations comply with Australian laws and regulations (e.g., Work Health & Safety, insurance, and fire safety). Assist in the preparation and filing of compliance reports and documentation if needed. Other Projects (Ad‑hoc Support) Support management in special projects, tracking progress and coordinating deliverables. Provide administrative support to senior executives as needed. Qualifications Bachelor’s degree or above, preferably in Business Administration, Foreign Languages, or related fields. Minimum 5 years of experience in office administration, executive assistance, or general affairs. Experience in multinational companies is a plus. Must have the legal right to work in Australia. Excellent command of both English and Mandarin, capable of professional communication with international teams and clients. Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with basic office equipment operation.
